Position Summary / Career Interest:

The Administrative Assistant to Manager provides administrative support to assigned department manager. Duties include general clerical, receptionist and project based work. Must project a professional company image through in-person and phone interaction.

This full-time position will support 2 managers. Monday-Friday, 8-4:30. Some flexibility is needed with the hours.

Responsibilities and Essential Job Functions

  • Assists with various organizational activities and preparation of statistical reports as directed
  • Coordinates and oversees office and supply management for department/unit operation
  • Coordinates and oversees unit environmental and safety management
  • Coordinates and oversses special projects as requested by leadership team
  • Coordinates meetings and electronically conference calls and takes minutes for meetings as requested
  • Demonstrates competencies in computer programs such as: Microsoft Office Word, - Excel and PowerPoint, email, intra/internet programs
  • Maintains employee files, confidential paperwork and KRONOS
  • Monitors expiration/due date for department/unit staff such as, but not limited to: licensures, performance appraisals, TB testing, certifications and attendance
  • On behalf of supervisor(s), signs his/her name to correspondence, requisitions, vouchers and other forms as delegated
  • Receives and screens all correspondence, determining appropriate action
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience

  • High School Graduate or GED
  • 3 or more years of broad administrative/secretarial experience

  • Must have excellent verbal and written communication skills
  • Windows, Word processing, spreadsheets and Power Point required
