About Us

Advanced Counseling Associates is a growing therapy practice dedicated to helping individuals, couples, and families achieve their highest potential. We provide a warm, professional, and confidential environment for our clients and staff. As we expand, we are seeking a compassionate and organized Front Desk Receptionist to be the welcoming face of our practice.


Position Overview

This is a full-time position ideal for someone who is empathetic, detail-oriented, and comfortable working in a mental health setting. Hours are Monday through Friday, approximately [Start Time] to [End Time]. The right candidate will bring professionalism, discretion, and a genuine care for people to this role.


Key Responsibilities

•  Greet and check in clients in a warm, professional, and confidential manner

•  Answer and direct incoming phone calls; schedule and confirm appointments

•  Verify insurance eligibility and collect co-pays or fees at time of service

•  Maintain accurate client records in compliance with HIPAA regulations

•  Coordinate scheduling with therapists and clinical staff

•  Manage office supplies, mail, and general office organization

•  Respond to client inquiries via phone and email with professionalism

•  Handle sensitive situations calmly, compassionately, and with discretion


Qualifications

•  High school diploma or equivalent required; Associate’s degree preferred

•  1–2 years of front desk, administrative, or medical/mental health office experience preferred

•  Familiarity with HIPAA regulations and mental health privacy standards a plus

•  Experience with scheduling or EHR software (e.g., SimplePractice, TherapyNotes) a plus

•  Strong verbal and written communication skills

•  Ability to remain calm and professional in sensitive or emotionally charged situations

•  Bilingual English/Spanish a plus but not required
