The Opportunity:Ā 

TheĀ TemporaryĀ Administrative Assistant-SeniorĀ will provideĀ central administrative support for the Robert Frederick Smith School of Chemical and Biomolecular Engineering at Cornell University, serving faculty, staff, students, and visitors. Reporting to the Assistant to the Directors, this role supports the daily operations of theĀ main officeĀ reception area, ensuring smooth front office workflow andĀ a high levelĀ of service to the departmental community. The positionĀ overseesĀ 3–5 student workers supporting front office operations andĀ is responsible forĀ coordinating daily administrative functions and priorities.Ā 

In addition, this position provides complex administrative support to faculty across a range of academic and service activities. The incumbent works independently, exercises sound judgment in prioritizing competing demandsĀ and ensures accuracy and quality across all tasks. The role requires strong organizational skills, discretion in handling sensitive information, and the ability to proactivelyĀ identifyĀ needs and support efficient departmental operations.Ā

Essential Duties and ResponsibilitiesĀ 

Ā 

Main Office Coordination:Ā 

  • Maintain a welcoming and professionalĀ main officeĀ environment, greeting andĀ assistingĀ faculty, staff, students, and visitors and providing general departmental information.Ā Ā 

  • OverseeĀ 3–5 student workers supporting front office operations, including assigning work, coordinating schedules, providing training, and reviewing and approvingĀ timesheetsĀ andĀ assigning work asĀ appropriate.Ā Ā 

  • ProvideĀ front-line support for office operations, including answering and redirecting phone calls, responding to inquiries,Ā bookingĀ conference rooms,Ā coordinating basic technology troubleshooting, and managing equipment sign-outs (e.g., laptops, cameras, A/V equipment).Ā Ā 

  • Serve as primary departmental contact for external vendors and service providers, including coordinating copier maintenance requests and other routine service needs.Ā Ā 

  • Coordinate routine access and compliance processes, including processing door access requests and verifying completion of required safetyĀ trainings.Ā 

  • Manage incoming and outgoing mail and packages, including sorting, routing, and recipient notifications;Ā maintainĀ basic mailing supplies (USPS, FedEx, UPS).Ā Ā 

  • Support officeĀ logisticsĀ including photocopying, faxing, preparation of presentation materials, and routine correspondence via word processing and email.Ā Ā 

  • Support upkeep of shared departmental spaces, including kitchen, lounge, and conference rooms, by monitoring cleanliness and ensuring spaces are presentable for use.Ā

Faculty Administrative Support:Ā Ā 

  • Provide high-level administrative support to faculty acrossĀ research,Ā teaching,Ā andĀ service activities.Ā Ā 

  • Manage calendars, schedule meetings,Ā andĀ resolve scheduling conflicts.Ā 

  • Coordinate travel arrangements, includingĀ bookingĀ travel,Ā processingĀ reimbursementsĀ and related expense reports (e.g., Concur).Ā 

  • Support postdoctoral recruitment processes, includingĀ maintainingĀ advertisements on Academic Jobs Online (AJO) andĀ assistingĀ with applicant tracking and updates throughout the recruitment process.Ā 

  • Provide administrative support to departmental committees, including scheduling meetings,Ā takingĀ meeting minutes,Ā preparing materials, and coordinatingĀ logisticsĀ as needed.Ā 

  • ProcessĀ professional expenses, including conference registrations and professional memberships.Ā Ā 

  • Process laboratory orders for research groups.Ā 

  • SupportĀ coordination of faculty and departmental events or social functions as needed.Ā

  • Formal training beyond a High School diploma and more than two years of relevant work experience.Ā 

  • ProficiencyĀ with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.Ā 

  • Knowledge of modern office practices, including professional communication, telephone etiquette, and written correspondence.Ā

  • AdditionalĀ experience in a higher education setting.Ā 

  • Ability to work both independently and collaboratively as a part of a team in a fast-paced, high-pressure environment where there areĀ numerousĀ interruptions and tasks to be done.Ā Ā Ā 

  • Prior experience with compiling and analyzing ad hoc data reports.Ā 

  • Prior experience with event coordinationĀ in a professional or academic setting.Ā
