We are currently seeking a full-time Administrative Assistant to work on-site in our Jackson, MS office.  This is an excellent opportunity to join and grow EnSafe, getting involved in a variety of projects for a diverse range of clients across the globe. 

As an Administrative Assistant, you will work on a wide range of projects in an environment that fosters creativity, collaboration at all levels, a culture of support, and professional growth. EnSafe emphasizes empowering staff to practice our profession passionately and without limitations. 

 

DUTIES/RESPONSIBILITIES
In this position, you will:

  • Process reports — formatting, confirming appropriate styles, and compiling reports (electronically in PDF format and/or printed hard copies in binders).
  • Grammar/Syntax review of documents, reports, letters, proposals, etc.
  • Conducting data entry.
  • Organizing and maintaining confidential client files.
  • Assisting staff with internal overhead processes (travel scheduling, scanning reports/documents, photocopying, expense reports, etc.).
  • General office duties (phone, mail, FedEx shipping, filing, production of training materials, stocking break room items and supplies, etc.).
  • Other general duties that arise.

 

SKILLS/EXPERIENCE
Minimum Skills and Requirements:

  • High School Diploma
  • 5+ years of administrative experience in a professional office setting.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Adobe Acrobat.
  • Highly organized and detail-oriented; able to work with multiple team members, manage several tasks simultaneously, meet strict deadlines, and use critical thinking to resolve issues.

 Preferred Skills:

  • Associate or Bachelor degree.
