Job DetailsJob Location: Jacksonville, FL 32246Position Type: Full TimeEducation Level: 2 Year DegreeTravel Percentage: NoneJob Shift: DayJob Summary The role is responsible for coordination of IPS cases and general office functions. Their management of IPS cases involves steps prior to the Design state and will involve direct communication with all internal team members, as well as surgeons, other medical professionals, and the sales team. The employee should consistently demonstrate mastery in their tasks, as well as establishing themselves as an expert to those within the company. The employee will be expected to assist in training others on all functional levels of tasks related to their role. The role will be responsible for developing process improvements and as needed, managing day-to-day assignment and execution of tasks within their team. Essential Functions, Duties, and Responsibilities Monitor and respond to emails in the IPS Coordinator and personal inboxes. Monitor and manage cases in IPS Gate. Update case related data on internal documents (Doctor, Hospital, Type of implant, Date of surgery, etc.). Assist with calls from sales team, surgeons, and other personnel regarding IPS cases. Clearly and professionally communicate internal timeline requirements to the sale teams, surgeons, and other medical personnel. Perform additional administrative tasks. Schedule meetings based on surgeon and internal member (e.g. IPS Planning Engineer) availability. Collaborate with IPS Planning Engineers to maintain reasonable workload for them. Provide daily guidance to the coordination team, ensuring efficient workflows, collaboration, and achievement of departmental goals. Serve as the owner of the customer experience within the department, ensuring consistent, high-quality service while identifying and implementing opportunities to improve customer satisfaction. Develop improved processes and training methods. Collaborate and coordinate with leads of other areas. Assist and spearhead new process improvement (ie new software and testing). QualificationsEducation and Experience Requirements AS degree or equivalent combination of education and experience Proficient user of Microsoft Office applications Minimum of 2 years of experience in a customer-facing role Knowledge, Skills, and Abilities Adhere and support KLS Martins quality and safety policies and procedures. Ability to learn new software quickly. Ability to retrieve and interpret documentation. Customer support skills. Able to work independently under minimal supervision. Able to efficiently communicate and collaborate amongst a team. Strong interpersonal skills with the ability to effectively communicate at all levels internally, as well as externally.
