As the Special Assistant to the Chief Executive Officer (CEO), you will be responsible for providing comprehensive executive and administrative support in the effective management of the organization’s daily operations. The role requires the coordination of activities involving staff, the Board of Directors, the Executive Committee, healthcare providers, and external stakeholders.


Duties include, but are not limited to, the following:

  • Provide high-level administrative support to the President and Chief Executive Officer, including the management of highly confidential and sensitive information.
  • Support senior leadership in the planning, coordination, and execution of staff, management, executive, and external meetings.
  • Monitor and manage correspondence to and from the Chief Executive Officer, exercising sound judgment in assessing priorities and responding to communications on behalf of the CEO. 
  • Respond to correspondence and telephone communications on behalf of the administration/ CEO. 
  • Coordinate and support the annual Board of Directors election process in accordance with the by-laws.
  • Maintain and safeguard original corporate contracts and official organizational documentation.
  • Schedule and coordinate meetings; prepare and maintain accurate minutes for official meetings.
  • Track internal initiatives and participate in organizational quality management activities.
  • Maintain correspondence and follow-up communications with providers, business partners, and external organizations.
  • Manage the Chief Executive Officer’s calendar, coordinate travel arrangements, and provide logistical support for the CEO and members of the Board of Directors.
  • Perform other related duties and responsibilities as assigned.


QUALIFICATIONS: 

  • Demonstrated exceptional organizational skills, with the ability to manage multiple priorities effectively and efficiently. 
  • Ability to use discretionary judgment and manage confidential information.
  • Proven ability to work independently with minimal supervision while exercising sound judgment and discretion in handling highly confidential and sensitive information.
  • Excellent written and verbal communication skills, with the ability to convey information clearly, professionally, and effectively to diverse audiences. 
  • Strong interpersonal skills, with the ability to collaborate successfully and interact professionally with employees, senior leadership, and members of the Board of Directors.
  • Highly developed organizational, project management, and strategic planning capabilities. 
  • Comprehensive knowledge of healthcare systems, and administration.
  • Demonstrated commitment to delivering exceptional customer service and stakeholder support.
  • Advanced proficiency in Microsoft Word, WordPerfect, and PowerPoint. Demonstrated experience utilizing virtual meeting and collaboration platforms, including Microsoft Teams, Webex, and Zoom.


EDUCATION & EXPERIENCE:

  • Bachelor’s degree in Business Administration or a related field, required.
  • Ten (10) years of progressive Administrative Assistant/Executive Assistant experience supporting senior-level executives, required. **An equivalent combination of education, training, and relevant experience may be considered. **


 

The salary range listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. The salary range for this position is $104,000.00 to $115,000.00. Actual salary and/or hourly rate depends on a variety of factors including experience, education, credentials, location, and budget.

The salary range listed does not include other forms of compensation or benefits.
