The Impact You will have in this role: 

 

Executive Calendar & Schedule Management
•    Own end-to-end calendar management for the President, exercising independent judgment to prioritize competing demands across internal and external stakeholders
•    Maintain a structured briefing system ensuring the executive enters every meeting fully prepared with relevant context, background materials, and pre-read documents
•    Proactively identify and resolve scheduling conflicts, often weeks in advance, protecting time for strategic priorities and focused work
•    Coordinate complex multi-party meetings with regulators, global counterparties, board members, and senior industry stakeholders across time zones
•    Manage cadence of recurring meetings (leadership team, board committees, town halls), including logistics, agenda development, and materials distribution
 

Organizational Systems & Process Excellence
•    Design, implement, and continuously refine organizational systems that enhance the executive's productivity and ensure nothing falls through the cracks
•    Maintain a rigorous action-item and follow-up tracking system, monitoring commitments made by and to the executive across all forums and meetings
•    Develop and manage a structured filing and document management system for correspondence, agreements, board materials, and regulatory communications
•    Build and maintain a stakeholder relationship database capturing key contacts, interaction history, and relationship context to support the executive's engagement priorities
•    Create and maintain standard operating procedures for recurring administrative processes, enabling consistency, continuity, and delegation
Interview note: Candidates will be asked to describe specific organizational systems they have personally designed, the problem each was built to solve, and measurable outcomes achieved.


International & Domestic Travel Management
•    Manage complex, multi-leg international travel itineraries across multiple time zones, including Europe, Asia-Pacific, and the Americas
•    Maintain current working knowledge of visa requirements, entry documentation, and travel advisories for key markets including the UK, EU, Singapore, Hong Kong, Japan, and other major DTCC jurisdictions
•    Build and manage relationships with preferred travel vendors and corporate travel platforms to ensure seamless, policy-compliant executive travel
•    Prepare comprehensive travel dossiers including itineraries, hotel details, meeting logistics, local contacts, emergency protocols, and relevant briefing context
•    Anticipate and resolve travel disruptions in real time — including rebooking flights, securing alternative accommodations, and communicating changes to all affected parties
•    Track and reconcile travel expenses, ensuring timely and accurate submission in accordance with DTCC policy


Communications & Correspondence
•    Screen, triage, and respond to executive correspondence with appropriate judgment about escalation, urgency, and delegation
•    Draft high-quality written communications on behalf of the executive, including correspondence to regulators, industry peers, board members, clients, and internal stakeholders
•    Maintain strict confidentiality across all executive communications, including sensitive personnel, regulatory, and strategic matters
•    Serve as a credible and professional point of contact representing the President to internal and external audiences at all levels


Event Planning & Executive Engagements
•    Plan and execute executive-level events including leadership offsites, client dinners, industry receptions, town halls, team recognition events, and speaking engagements
•    Manage all event logistics including venue selection, catering, AV requirements, run-of-show, seating arrangements, and attendee communications
•    Support the executive's participation in industry conferences — including FIA, SIFMA, ISDA, and other relevant forums — coordinating registration, scheduling, briefing materials, and follow-up
•    Coordinate client-facing and stakeholder entertainment in a manner consistent with DTCC's brand standards and compliance requirements
•    Produce post-event recaps and follow-up task lists to ensure relationship continuity and commitment tracking


Financial & Administrative Operations
•    Process and reconcile expense reports, vendor invoices, and procurement requests in accordance with DTCC policy and approval workflows
•    Track relevant departmental budget items as assigned, flagging variances and supporting cost management processes
•    Coordinate onboarding logistics for new senior leaders joining the division

Talents needed for Success: 

Required
•    10+ years of executive assistant experience supporting a C-suite, Managing Director, Division President, or equivalent senior executive, preferably in financial services, asset management, fintech, or a similarly regulated environment
•    Demonstrated experience managing complex international travel, including direct working knowledge of visa and entry documentation requirements across major global jurisdictions
•    Exceptional organizational skills with a verifiable track record of designing and building systems that measurably improve executive effectiveness
•    Superior written and verbal communication skills, including demonstrated experience drafting professional correspondence, briefing documents, and executive-level communications
•    Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), enterprise calendar platforms, and corporate travel management systems
•    Unwavering commitment to confidentiality and discretion in handling sensitive organizational, personnel, and regulatory information
•    Demonstrated experience planning and executing executive-level events and logistically complex engagements
•    Ability to manage competing priorities with urgency, calm composure, and sound judgment in high-pressure environments


Preferred
•    Experience supporting external-facing executives in financial services who meet with diverse constituents such as clients, regulators, and other senior-level industry participants
•    Bachelor's degree or equivalent professional experience
 

The salary range is indicative for roles at the same level within DTCC across all US locations.
