As the Exam Administration Specialist I, you will support daily exam operations by responding to PA inquiries, preparing certificates and mailings, assisting with exam communications, and processing requests for accommodations, grievances, and score audits. 

In accordance with NCCPA’s Conflict of Interest Policy, any NCCPA employee who is a PA, lives with or is in a committed relationship with, or is related to a PA is prohibited from working on exam content, participating in NCCPA exam-related meetings and will not have access to NCCPA systems that contain PA data.

Who We Are

National Commission on Certification of Physician Assistants (NCCPA) is the only certifying organization for physician assistants in the United States. Established as a not-for-profit organization in 1974, we are dedicated to assuring the public that board certified PAs meet established standards of clinical knowledge and cognitive skills upon entry into practice and throughout their careers. All U.S. states, the District of Columbia and the U.S. territories have decided to rely on NCCPA certification as one of the criteria for licensure or regulation of PAs.


Location: NCCPA is a hybrid work environment with our headquarters located in Johns Creek, Georgia. NCCPA has determined that the telecommuting status of this position is hybrid, which means that employees in hybrid positions are allowed to split their work hours between working remotely and working onsite at the NCCPA headquarters. The duties of this position require that the candidate report on-site to the Johns Creek headquarters, at minimum, on a weekly basis and live within the commutable distance. NCCPA has defined commutable distance as within the State of Georgia and within 85 miles of ground transportation, one-way between an employee’s primary residence and the NCCPA headquarters in Johns Creek, Georgia.

How Will You Make a Difference? You will…

  • Provide timely and accurate support via email and phone for multiple Exam Operations inboxes, serving as a direct point of contact for customers and responding confidently to questions and requests in real time while ensuring prompt follow-up and resolution.
  • Process exam applications, scores, and eligibility notices in accordance with NCCPA policies, including payments and reimbursements.
  • Review and assess documentation submitted for exam accommodation requests under the Americans with Disabilities Act Amendments Act (ADAAA).
  • Determine next steps in the evaluation process, request additional documentation if needed, and communicate decisions clearly and promptly.
  • Maintain accurate records and upload all related correspondence and documentation to the case management system.
  • Assist in the intake and evaluation of exam-related grievances; provide recommendations for next steps to the Senior Director of Exam Operations, ensuring accuracy and alignment with NCCPA policies.
  • Manage certificate printing, preparation, and mailing. Handle returned and duplicate certificate requests and maintain inventory of mailing supplies.
  • Participate in user acceptance testing (UAT) for new or updated processes and system enhancements impacting the Exam Administration team.
  • Conduct annual reviews of relevant policies and procedures; recommend updates as appropriate to ensure alignment with current practices.
  • Provide additional departmental support for administrative tasks and reporting needs, as assigned.


Hard Skills You Will Have

  • Associates degree preferred, or equivalent combination of education and experience.
  • Minimum of 2 years of experience in office administration, operations, or related support roles.
  • Demonstrated proficiency in Microsoft Outlook, Word, Excel, and Teams.

  • Your highly developed time management skills, systematic approach to organization/planning and keen attention to detail while managing multiple projects. 
  • Your excellent verbal and written communication skills, including the confidence and ability to communicate directly with internal and external customers by phone, respond to questions in real time, and provide clear and accurate information.
  • Your interpersonal skills and ability to collaborate with cross-functional teams. 
  • Your ability to multitask and quickly adapt to changing/conflicting priorities as required.
  • Aptitude for customer service, problem solving, exploring, and learning new technology.
  • An eagerness to learn and grow within the role and organization.

 

Extra Skills You Can Bring Along 

  • Prior certifications in office administration or operational processes a plus.
  • Familiarity with a certifying body or testing organization is a bonus but not required.
