Job Summary

The Department of Obstetrics and Gynecology at the Quillen College of Medicine, East Tennessee State University, is accepting applications for full-time Administrative Associate 2 --Information Research Tech II

The Administrative Assistant will serve as the welcoming member to the Academic Office for the Department of Obstetrics and Gynecology, which provides patient care, and education for residents and medical students.

Responsibilities

  • Collaborate with faculty members and manage their responsibilities and calendars. 
  • Be the welcoming face of the Obstetrics and Gynecology Academic Office
  • Secretarial and clerical duties for including but not limited to: 
    • File, fax, upload, and track certifications (DEA, Medical license, ABOG, ABOOG, ACOG, ACOOG.) and documents (certifications, mentoring forms, chart acknowledgment and consent forms, evaluations, Onboarding
    • Manage, update and distribute a leave/meeting calendar of 15 faculty members and 6 staff members
    • Assist with special events and workshops 
      Support faculty and form submissions, data collection, coordinate with Ballad Health/other departments, etc.) 
    • Schedule meetings 
    • Create projects, spread sheets, work sheets and report templates 
    • Substitute at committees or escort interviewing faculty members while visiting and interviewing
    • Assist with any clerical needs 
    • Know or learn Outlook, Microsoft Excel/Word/PowerPoint and Outlook. 
    • Know or learn University software programs such as Voyager (Oracle)
    • Manage the Conference room availability
    • Pick up and distribute Mail to and from the mail room
    • Run other errands as necessary
  • Back up to other Administrative Associate and Business Manager
  • Be willing and open to learn and grow.

  • Become familiar with academic policies, accreditation standards, and curriculum processes.
  • Effective communication skills across diverse academic and community groups.
  • Ability to collaborate with academic and administrative colleagues and leadership.
  • Commitment to promoting student success and faculty excellence in teaching, scholarship, and service.
  • Knowledge and use of Teams, Zoom
  • Knowledge and use of Word, Outlook, Excel Knowledge and use of Teams, Zoom

 

Required Qualifications 

  • High School Diploma or equivalency 
  • One year Office Experience 
  • Experience with managing multiple schedules, group project, planning and drafting routine and non-routine correspondence.

 

Preferred Qualifications 

  • Bachelor’s degree
  • Experience in Education or higher education field
  • Interest and/or experience in women’s health.
