  • Ability to handle purchase orders (POs) or similar transactional documents.
  • Solid communication skills, both in person and over the phone, with a professional and courteous demeanor.

Job Description

This Receptionist provides front desk coverage and comprehensive administrative support in a small, close‑knit office within an industrial chemical manufacturing environment. The position serves as the first point of contact for visitors and callers, supports multiple departments with clerical and data entry tasks, assists with customer order and invoice processing, and helps keep the office running smoothly through organized scheduling, records management, and supply coordination.

Responsibilities

  • Greet and welcome visitors, clients, and vendors at the front desk, providing a professional first impression and directing guests to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls, ensuring calls reach the correct staff member or department.
  • Manage the general office email inbox and respond to messages in a timely and professional manner.
  • Provide clerical support to all departments, including filing, photocopying, scanning, emailing, and data and order entry.
  • Serve as backup for the Customer Service team by receiving customer order information when representatives are unavailable or when the team is short-staffed.
  • Prepare, review, and distribute customer invoices accurately and on schedule.
  • Receive, sort, and distribute daily mail, packages, and courier deliveries to appropriate recipients.
  • Maintain a tidy and organized reception area and ensure common areas, such as the kitchen and meeting rooms, remain clean and fully stocked with necessary supplies.
  • Monitor office and kitchen supply levels and place replenishment orders as needed to avoid disruptions.
  • Coordinate and schedule appointments, meetings, and conference room bookings, and assist with managing staff calendars as directed.
  • Draft, proofread, and format correspondence, reports, memos, and presentations on behalf of management and various departments.
  • Maintain organized physical and digital filing systems, ensuring records are properly stored, labeled, and easily retrievable.
  • Display and distribute promotional items and marketing materials for visitors and guests.
  • Collaborate with a small office team to support daily operations and contribute to a positive, cooperative work atmosphere.
  • Perform other administrative duties as assigned by supervisors, department leaders, or executive management to support business needs.
  • Maintain regular, punctual attendance and reliably complete tasks during scheduled work hours.
  • Occasionally lift and move packages or office supplies up to 25 pounds and handle related logistical tasks.

Work Environment

This role is fully on-site in a small office. Will work as part of a team of approximately five people in a relaxed, friendly environment where many employees have long tenure and there is a strong family feel and sense of camaraderie. Most interactions are with internal staff, vendors, and business visitors.

The position follows a standard schedule of 8:00 a.m. to 5:00 p.m.
