Position Overview:
The scheduling Specialist is responsible for coordinating attendant schedules and effective supporting the daily operations between clients and In-Home Attendants within the Agency Directed Services (ADS) program. The Scheduling Specialist upholds and reinforces the mission, vision, and values of The Independent Living Center (TILC) while providing exceptional customer service to clients, attendants, and staff.
 Essential Duties and Responsibilities
Scheduling and Service Coordination
- Maintain accurate daily and weekly schedules for assigned attendants to ensure uninterrupted client services.
- Assign new clients to attendants in accordance with state-mandated guidelines and program requirements.
- Coordinate replacement coverage for call-offs, missed visits, and staffing shortages.
- Monitor authorized service hours and notify supervisors of potential over-utilization or service gaps.
- Track and document missed visits and report scheduling issues to the Certified Manager or ADS Director
- Other duties as assigned.Â
Documentation and Administrative Support
- Maintain accurate scheduling, attendance, and service delivery records in accordance with agency, Medicaid, and ADS program requirements.
- Review and approve assigned weekly attendant timecards in a timely manner.
- Prepare and maintain department reports, correspondence, and documentation as directed.
- Prepare and distribute materials for staff meetings and assist with departmental communications.
- Verify Medicaid eligibility in the absence of the Administrative Assistant.
Qualifications
- High school diploma or equivalent required.
- Minimum of one (1) year of scheduling, staffing coordination, healthcare office, or customer service experience preferred.
- Strong verbal, written, and interpersonal communication skills.
- Demonstrated organizational, multitasking, and problem-solving abilities.
- Working knowledge of Microsoft Office; experience with scheduling or electronic record systems preferred.
- Ability to communicate effectively with individuals from diverse cultural, educational, and social backgrounds.
- Valid Missouri driver’s license and proof of automobile insurance required.
- Ability to obtain and maintain working knowledge of Missouri Agency Directed Services (ADS) regulations and requirements.
Physical Requirements
The employee may occasionally lift and carry up to 25 pounds and may be required to sit, stand, walk, bend, reach, and perform repetitive hand and keyboard movements for extended periods.
Work Environment
Work is performed primarily in an office environment with frequent telephone and computer use. Occasional travel to other locations for meetings or training may be required.
