We are seeking a dynamic and highly organized Administrative Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. The ideal candidate will excel at multitasking, possess excellent communication skills and demonstrate a proactive approach to administrative support. Your enthusiasm and attention to detail will help foster a productive workplace, support daily operations, and enhance overall office efficiency. Responsibilities

  • Manage front desk duties, including greeting visitors and handling inquiries with professionalism and warmth
  • Operate multi-line phone systems, directing calls accurately and courteously while providing excellent customer service
  • Maintain organized digital filing systems,to ensure easy retrieval of documents and records
  • Handle and coordinate intake/scanning of mail.
  • Purchase inventory
  • Support C-suite with clerical duties
  • Record minutes for various meetings
  • Provide clerical support such as proofreading documents, preparing correspondence and managing office supplies

Requirements

  • Proven office management or administrative experience, with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent phone etiquette and experience handling multi-line phone systems
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Strong typing skills combined with attention to detail for proofreading and data entry tasks
  • Exceptional time management skills to prioritize tasks efficiently in a busy environment
  • Previous experience as a receptionist or personal assistant is advantageous
  • Knowledge of office procedures such as filing and photocopying

Salary: $45,000.00 per annum

  • 8:30 AM-5:00 PM
  • Must have reliable transportation

Experience:

  • Strong administrative experience required. Minimum 2 years preferred
