Job Title: Production Document Control Team Member II
Reports to: Scheduling and Document Control Supervisor
A. PURPOSE
Under general supervision, the Production Document Control Team Member II will work with the production department to ensure accurate and timely control of production transactions, material consumption, work orders, inventory, and finished goods using the AX WMS system. The position is responsible for monitoring and reconciling production and inventory information in real time, identifying and investigating discrepancies, determining root causes, documenting dispositions, and ensuring appropriate follow-up and escalation with the responsible departments.
B. DUTIES

- Follows, monitors, and enforces all food safety procedures.
- Follows and enforces SQF requirements (Facilities, Equipment, SSOP, SOP, GMP’s, and ETC).
- Follows and enforces USDA & FDA guidelines and regulations.
- Follows Company Policies, Regulations, and Lunch & Break Policies.

Position Area Duties (1-14 listed below)
- Monitor and follow up on inventory accuracy, including materials located on the production floor, WIP, staging areas, and other designated inventory locations.
- Identify, investigate, and follow up on reported floor inventory discrepancies to determine the cause and ensure timely resolution.
- Document and log inventory dispositions accurately and identify the root cause of discrepancies to ensure adjustments and issues are assigned and reported under the correct department.
- Report and escalate inventory variances, work order discrepancies, and other production control issues to the appropriate Lead, Supervisor, or responsible department for timely resolution.
- Process and maintain RAF transactions in real time within work orders, ensuring production transactions accurately reflect actual material usage and production activity.
- Verify that material consumption recorded in work orders is accurate and consistent with actual production consumption.
- Follow through on BOM versus actual production discrepancies, investigate differences, communicate findings, and ensure appropriate corrections or follow-up actions are completed.
- Monitor work orders throughout the production process to identify discrepancies between planned, reported, and actual material consumption.
- Ensure all required production and inventory transactions are completed accurately and in a timely manner within AX WMS.
- Maintain accurate and timely production documentation and records, including material consumption, work orders, transfers, inventory adjustments, waste, dispositions, and finished goods.
- Communicate effectively and in a timely manner with Production, Scheduling, Warehouse, Inventory Control, and other departments regarding inventory discrepancies, work orders, material consumption, RAF transactions, BOM variances, waste, and production needs.
- Take ownership of discrepancies from identification through resolution, ensuring appropriate follow-up, communication, documentation, and escalation until the issue is resolved.
- Identify recurring inventory and production discrepancies, analyze root causes, and communicate trends and recommendations to leadership to support corrective actions and continuous improvement.
- Provide guidance and support to Production Document Control Team Members I regarding proper system transactions, inventory tracking, work order consumption, documentation requirements, and department procedures.
Specific Skills and Abilities Required
- Excellent verbal and written communication skills.
- Detail oriented with strong organizational, analytical, and follow-up skills.
- Bilingual in English/Spanish.
- Strong computer and technology skills, including Microsoft Word, Excel, Outlook, PowerPoint, AX, WMS, and Internet applications.
- Strong working knowledge of Microsoft Excel, including the ability to review, organize, compare, and analyze production and inventory data.
- Ability to accurately enter, review, monitor, and reconcile production and inventory data in real time.
- Ability to identify discrepancies, investigate root causes, determine appropriate dispositions, and follow through until resolution.
- Strong understanding of work orders, material consumption, BOM requirements, inventory transactions, RAF transactions, waste, and finished goods.
- Ability to communicate timely and effectively across multiple departments and appropriately escalate issues when necessary.
- Ability to work independently, prioritize multiple tasks, and make sound decisions within established procedures.
- Ability to learn and effectively utilize production, inventory, warehouse management, and other computer-based systems.
- Handheld scanner experience is a plus.
- Ability to provide guidance and support to Level I Document Control Team Members.
C. EDUCATION/EXPERIENCE
- High School or equivalent and/or two years of experience in production, inventory control, document control, warehouse operations, or a related field.
- Previous experience with production documentation, inventory control, work orders, material consumption, or warehouse management systems preferred.
- Experience using Microsoft Excel and other Microsoft Office applications required.
- Experience with AX/WMS or similar ERP, inventory, or production management systems preferred.
- Previous experience identifying and resolving inventory or production discrepancies preferred.
