The Admissions Specialist is responsible for coordinating client admissions, managing referrals, maintaining program census data, supporting reporting requirements, and ensuring accurate documentation throughout the admission process. This position works closely with clinical teams, referral sources, care managers, and the billing department to ensure timely, efficient, and high-quality service delivery while creating a positive first impression for clients entering care.

Key Responsibilities:
- Facilitate client screenings by phone or in person and guide individuals through the admissions process with professionalism and compassion
- Create a welcoming experience for new clients while building positive relationships with referral sources, clients, and team members
- Coordinate referrals, admissions, transfers, and discharges to support efficient client access to services
- Maintain program census information and waiting lists in accordance with applicable standards and service models
- Complete admission documentation, including demographic, financial, residency, and release-of-information forms within required timelines
- Collaborate with care managers and the billing department to verify insurance information and ensure accurate payer billing processes
- Enter, update, and maintain data within designated databases while ensuring accuracy and timeliness
- Assist clinical staff with administrative support, correspondence, forms, chart preparation, and documentation needs
- Conduct chart reviews, organize records, and resolve technical documentation deficiencies within established timeframes
- Support operational and reporting needs and perform other duties as assigned by leadership
Education, Experience, and/or Credential Qualifications:
- High School Diploma or General Equivalency Diploma (GED)
- Knowledge of confidentiality laws related to mental health and substance use disorder treatment
- Basic computer proficiency, including Microsoft Word and Excel
- Strong verbal and written communication skills
- Ability to manage multiple priorities, stay organized, and meet deadlines
- Exceptional attention to detail and accuracy
- Ability to establish rapport and create a welcoming environment for clients and visitors
- Knowledge of program policies, procedures, and applicable regulations
Additional Qualifications:
- Successful completion of a background check, including criminal history, driving record, and abuse/neglect screening
- Valid driver's license in state of residency with an acceptable driving record
- Must attain First Aid certification within three (3) months of beginning employment and maintain certification upon renewal
- Must attain CPR certification within three (3) months of beginning employment and maintain certification upon renewal
- Must complete Behavioral Management training within thirty (30) days of employment or first available class after start date
- Ability to demonstrate professionalism, customer service excellence, and sound judgment in a behavioral health environment
Physical Requirements
- Perform sedentary work requiring the exertion of up to 10 pounds of force occasionally and negligible force frequently to move objects
- Remain seated for extended periods throughout the workday
- Walk or stand occasionally as needed to perform job duties
- Use standard office equipment and computer systems regularly
- Perform tasks requiring attention to detail, visual concentration, and frequent keyboard use
