As our Booking Coordinator & Administrative Assistant, you'll be at the heart of the operation, helping create unforgettable experiences for schools, families, community groups, and special event guests. From coordinating reservations and supporting special events to assisting with office administration and team member programs, you'll play a key role in ensuring every day is a success.

What You'll Be Doing

Create Memorable Guest Experiences

You'll be the primary coordinator for group visits and special experiences, helping guests from their initial inquiry through the completion of their visit.

You'll:

  • Manage school, group, birthday party, and special event bookings from start to finish.
  • Build strong relationships with schools, community organizations, and corporate partners.
  • Welcome and assist groups during their visit to ensure a seamless experience.
  • Maintain reservation systems, booking calendars, and guest records.
  • Prepare attendance forecasts, booking reports, and revenue updates.
  • Support promotional events, familiarization tours, and community outreach initiatives.

Keep the Business Running Smoothly

As a key administrative partner, you'll support the leadership team while helping maintain an organized and professional workplace.

You'll:

  • Provide administrative support to the General Manager and leadership team.
  • Maintain confidential employee, operational, and business records.
  • Organize contracts, invoices, employee files, and office documentation.
  • Manage office supplies, uniform inventory, breakroom supplies, and vendor orders.
  • Assist with purchase orders and vendor communications.
  • Coordinate mail, deliveries, and courier services.
  • Welcome vendors, applicants, guests, and visitors to backstage and office areas.
  • Help maintain professional office spaces and team communication boards.
  • Ensure office equipment and technology resources are operating efficiently.

Support Team Members Throughout Their Journey

You'll help create a positive employee experience from recruitment through onboarding and engagement programs.

You'll:

  • Assist with recruiting activities, job fairs, candidate screenings, and interview scheduling.
  • Support onboarding and orientation programs for new team members.
  • Help coordinate recognition activities, engagement events, and team celebrations.
  • Maintain staffing and administrative records.
  • Contribute to initiatives that enhance the overall employee experience.

Qualifications & Experience

What We're Looking For

āœ… Highly organized with exceptional attention to detail

āœ… Strong communication and customer service skills

āœ… Comfortable managing multiple priorities in a fast-paced environment

āœ… Professional and approachable when interacting with guests, team members, vendors, and community partners

āœ… Proficient with Microsoft Office and administrative systems

āœ… Experience in administration, reservations, hospitality, guest services, event coordination, office management, or a related field is preferred

āœ… Ability to maintain confidentiality and exercise sound judgment
