OVERVIEW

The Project Coordinator provides administrative support to assigned team and is responsible for assisting, organizing, and tracking project activities to ensure projects are completed on time, within scope, and budget. The Project Coordinator is an integral member of the project management team and functions as a liaison between internal project leadership, contractors, vendors, and other stakeholders.

ESSENTIAL FUNCTIONS

  • Coordinate project activities, resources, equipment, materials, and information.
  • Monitor the progress of project activities and regularly provide updates to assigned teams.
  • Order entry
  • Provide customer service support including but not limited to placing service calls and following up on service-related issues.
  • Collaborates with project stakeholders to ensure orders are acknowledged, received, ship dates are acceptable, and deliveries are scheduled in a timely manner and within the requirements of the project.
  • Assembles documentation for project, including cut-books, GC/trade coordination letters, shelving diagrams, wall backing diagrams, plans and specifications for all equipment, etc. and distributes as required.
  • Assist in distribution of clarifications and corrections as necessary according to project protocol.
  • Tracks quotes necessary to provide complete cost estimates for new job bidding and change order work requested by customers.
  • Reviews quotes and manufacturer shop drawings for accuracy of proper equipment description and physical requirements compared to Purchase Orders; seeks approvals for release, as applicable.
  • Assist with documentation of changes to the scope of work, including generation and tracking of change orders as required.
  • Assist with close-out of projects, including creating delivery notes and instructions, confirming all equipment is on hand at the local warehouse and received in good condition, coordination of delivery of warranty and service lists, scheduling start-ups for equipment and scheduling training for end users.
  • Assist in filing freight claims and tracking claims until payment is received.
  • Responsible for invoicing for products within P21.
  • Coordinate start-up appointments and commissioning of new equipment.
  • Manages warranty issues in a professional and timely fashion.
  • Prepare service sheets.
  • Prepares and invoice products in Singer System
  • Maintains profitability tracking for projects
  • Reconcile job upon completion
  • Utilize customer tools including, not limited to, requested portals, development reports, service log recaps, chain standards (i.e., “playbook”)
  • Communicates both internally and externally in areas such as estimating, procurement, project coordination, sales, customer, logistics, opening dates, timelines, etc. using Singer procedures.
  • Executes all work in accordance with Singer H&R processes and procedures.

MINIMUM QUALIFICATIONS

  • High School Diploma or equivalent.
  • Minimum of 3 years related experience. Foodservice and/or construction experience is required.
  • Proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Strong customer service skills.
  • Effective interpersonal skills
  • Ability to multi-task and work in a fast-paced environment
  • Attention to detail; highly organized.
  • Exceptional work ethic with a focus on achieving goals and targets in a timely and complete manner.
  • Possess strong written and verbal communication skills, including ability to articulate recommendations in a concise and timely manner.
  • Highly driven and self-motivated; ability to work independently with minimal supervision and as part of a team.
  • Foster positive relations and communications with co-workers
  • Strong relationship building skills with customers, general contractors, architects, manufacturers and vendors, and other trades on job sites.
  • Possess integrity and ethical character.
  • Ability to think creatively, critically and utilize all resources needed to solve problems.

PHYSICAL DEMANDS

Work requires sitting for extended periods of time while operating a computer, standing, walking and moving throughout the office and telework environment; talking; seeing (specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus); hearing; feeling; bending or stooping; squatting or crouching; reaching; kneeling; pushing; pulling; lifting up to 25 lbs.

WORKING CONDITIONS

Typically works in an office, home and telework environment. The core hours of this position are 8:00 am – 5:00 pm. However, some evening and weekend hours may be required to meet business demands.  Job may require work to be performed on active construction sites where employee may be exposed to dust, dirt, loud noise, odors and other hazards commonly found on construction sites.

TRAVEL

Occasional travel may be required, etc.  Must be able to get to job sites as needed.
