Job Responsibilities
- Purchase goods and services for the Large Animal Hospital, including standing order PO for various goods and services for the Hospital
- Reallocate weekly credit card charges for 9 Hospital Pcard holders. Place service calls for Quench water coolers, pay monthly Primo, Verizon, and T-Mobile accounts with Pcard
- Monitor the monthly P-Card closing schedule set by the Director of Finance and
Operations - Review and approve Penn Travel & Expense management reimbursement
reports in Concur - Manage Large Animal Hospital Assets - Run reports, tag, and report retired equipment. Monitor HR Poster compliance -keep track of changes, pay annual fees for PA and federal compliance posters and updates.
- Maintain equipment service contracts, review and renew when needed, and
coordinate preventative maintenance visits for certain equipment - Run BEN financial reports for Open encumbrance, invoices on hold and other
purchase related reports - Process Non-PO payments and foreign currency invoices in Penn Marketplace. Help other PO managers & Requisitioners with difficult orders
- Final Close reviewed purchase orders. Request new vendor onboarding requests and Requests and PA tax-exempt forms. Follow up with Vendors about order status and invoicing issues
- Other duties and responsibilities as assigned
Qualifications
High School Grad/GE Degree and 5 to 7 years of experience or equivalent combination of education and experience is required. Qualified applicants must have a sense of urgency on completing work, must be efficient and reliable, and understand the workings of the PO system/BEN Financials. Knowledge of Excel, self-motivated, problem solver with the ability to work independently, good attention to detail, and policies. Please submit a cover letter with your resume.
