SUMMARY

The Library Operations Assistant provides administrative, operational, and public service support for Lightner Library. Working closely with the Library Director and library staff, the position assists with circulation services, resource sharing, acquisitions processing, archives projects, and day-to-day library operations. The Library Operations Assistant helps ensure the efficient delivery of library services and contributes to a welcoming, student-centered environment that supports teaching, learning, and research at Keuka College.


ESSENTIAL RESPONSIBILITIES

Access Services

  • Provides courteous and responsive service to students, faculty, staff, and visitors at library service points.
  • Checks library materials in and out and assists patrons with routine circulation transactions.
  • Responds to general library questions and refers research inquiries to librarians as appropriate.
  • Assists with shelving, shelf reading, collection shifting, and stack maintenance.
  • Assists with maintaining the environment and overall organization of the library.
  • Assists in maintaining accurate patron and circulation records.
  • Assists with processing interlibrary loan borrowing and lending requests.
  • Assists with ordering, receiving, and processing library materials and subscriptions.
  • Assists with tracking orders and resolving routine receiving issues.
  • Assists with the physical processing and preparation of new library materials.

Administrative and Operational Support

  • Assists with purchase requisitions, invoice processing, and recordkeeping related to library expenditures.
  • Maintains departmental files, statistics, and operational records.
  • Assists with compiling routine reports and usage statistics.
  • Coordinates office and library supply inventories and ordering.
  • Assists with scheduling, correspondence, and other administrative functions as assigned.

Archives and Special Projects

  • Assists with processing, organizing, and inventorying archival and special collections materials.
  • Supports digitization, preservation, and records management projects.
  • Assists with library displays, exhibits, and outreach initiatives.
  • Participates in special projects that support library operations and strategic priorities.

Institutional Responsibilities

  • Ensures assigned responsibilities are completed in compliance with institutional policies and applicable regulations.
  • Maintains a professional and courteous attitude toward students, faculty, staff, and external partners.
  • Maintains effective working relationships and contributes to a collaborative team environment.
  • Attends required meetings, training sessions, and professional development activities.
  • Maintains a high regard for student privacy in accordance with FERPA requirements.
  • Demonstrates integrity and professionalism in support of the College's mission and values.
  • Regular and reliable attendance is expected and required.
  • Performs other duties as assigned.

Requirements

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent required.
  • One to three years of experience in an administrative, customer service, library, educational, or office environment.
  • Demonstrated organizational skills and attention to detail.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to manage multiple tasks and priorities with accuracy.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office applications and web-based systems.

PREFERRED QUALIFICATIONS

  • Associate's degree or additional post-secondary coursework.
  • Experience working in a library, higher education, or academic support environment.
  • Experience with library systems or office financial processes.

PHYSICAL REQUIREMENTS

  • Occasional evening and weekend hours as needed.
  • Ability to move library materials and supplies weighing up to 25 pounds.
  • Ability to perform shelving and other tasks requiring standing, reaching, bending, and walking throughout the library.
