The Executive Administrative Assistant provides high-level administrative support by conducting research, handling information requests, and performing clerical functions. This role acts as an information and communication manager for the office, ensuring efficient operations and supporting customer success and sales in security.
Responsibilities- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare invoices, reports, memos, letters, financial statements, and other documents.
- File and retrieve corporate documents, records, and reports.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Manage calendaring for two General Managers, including travel and expenses, with occasional international travel assistance.
- Support ad hoc projects, including equipment support and team operations projects.
- Assist with administrative duties such as scheduling travel, creating purchase orders, joining meetings, documenting meetings, and providing meeting notes.
- Order devices for new hires and assist with team operations.
- Support remote or onsite events as necessary.
- Minimum 2 years experience supporting GM level and up executives.
- Minimum 3 years experience with calendaring for multiple executives.
- Minimum 3 years experience with booking travel and processing expenses.
- Strong verbal and written communication skills.
- Ability to multitask and provide excellent customer service.
- Ability to work independently and manage time effectively.
- Basic mentoring skills for providing support and feedback.
- Experience with computer applications such as Microsoft Word, Excel, and PowerPoint.
- High school diploma or GED required.
- 5-7 years of overall experience in the field.
- Experience supporting executives and data management.
- Experience in large matrixed enterprise companies preferred.
This role operates in a hybrid environment from building 122 in Redmond, WA, requiring 1-3 days per week onsite. The standard schedule is Monday through Friday, 40 hours per week, with no expected overtime. The work environment is remote, mostly on the west coast, supporting General Managers in different time zones. The position offers a chance for extension pending budget approval.

Pay and BenefitsThe pay range for this position is $40.00 - $45.00/hr.
