Job Description:
This Assistant Executive Director works closely with the Executive Director to lead day-to-day operations and ensuring that every aspect of community life reflects a warm, welcoming, and service-oriented environment where residents truly feel at home. The Assistant Executive Director plays a key role in fostering a culture of hospitality, personalized care, responsive service, and team engagement, while upholding the highest standards of regulatory compliance. This position is instrumental in helping communicate and implement the Continuing Care Retirement communities’ policies and procedures in alignment with federal, state, and local guidelines as well as ensuring quality care and peace of mind for residents and their families. We view our community as the residents’ home. The Assistant Executive Director alongside the Executive Director helps bring this vision to life by promoting a home-like atmosphere and modeling person-centered care in every interaction.
Education & Experience:
- Bachelor’s degree in hospitality, Health Care, Business Administration or other related fields.
- Two years’ leadership experience in healthcare, senior living, or hospitality (such as hotel or restaurant management) is preferred.
- Current Missouri License as a Licensed Nursing Home Administrator is required.
Responsibilities/Requirements
Responsible for assisting with the overall management of the Community, as well as its programs and activities, in accordance with current practices and procedures which reflect person centered care, evidence-based practice and current policies and regulations. This may include, but is not limited to, conducting Community inspections and the management of written policies, practices and procedures which ensure Community staff in meeting the day-to-day needs of the Community residents.
Observes and learns from the Executive Director on all areas of community operations in order to assist with providing support and oversight when needed.
Oversees hospitality related functions of the community including but not limited to: Resident Services, Life Enrichment, Dining Services, Concierge, and Environmental Services.
Assists and participates in Community surveys and inspections made by authorized regulatory agencies.
Serves on various committees of the Community (i.e. Infection Control, Q.A., Safety, etc.) and assists in developing, evaluating and implementing appropriate plans of action to correct identified quality deficiencies. Provides written/oral reports of such committee meetings to the home office as directed or as may be necessary.
Assists with reviewing resident applications. Is available to tour community and present features and benefits to prospective residents when needed.
Maintains a good working relationship with the medical profession and other healthcare providers and organizations.
Works with provider agencies and home office staff to develop managed care contracts.
Ensures consultants and agencies are performing required visits and tasks. Meets with consultants and agencies and required.
Reviews vendor contracts as necessary and submits to the home office for approval.
Represents the Community by attending and participating in meetings and events with outside agencies. Maintains a good public relations program that serves the best interest of the Community.
Assists with facilitating and supporting the Mission as set forth in the community guidelines.
Assists with providing leadership and participates in planning meetings for fund development programs and goals.
Assists with the recruitment and selection of departmental managers and key personnel.
Models, teaches and utilizes effective communication skills such as active listening, giving meaningful feedback, communicating ideas clearly and providing leadership to staff.
Consults with department directors concerning the operation of their departments and assists in addressing/correcting problem areas, and/or the improvement of services. Assists with ensuring departmental directors provide consistent and timely feedback to staff regarding policies and procedures, performance appraisals and corrective actions.
Communicates problem areas and concerns with Executive Director
Collaborates with department directors and human resources to provide a work environment conducive to employee retention. Monitors staffing level to comply with budget and resident needs.
Assists in the development and planning of in-service training. Ensures Community compliance with required training and development programs, including corporate compliance and HIPAA.
Assists with the preparation and presentation of written and oral reports/recommendations to the Home Office concerning the operation of the Community.
Monitors compliance with State programs.
Assists with overseeing the preparation of the annual Community operating budget. Maintains budget compliance through routine monitoring and by making needed adjustments to meet the budget. Reviews and interprets monthly financial statements and monitors accounts receivable and payable.
Ensures staff follows established universal precautions, safety and sanitation procedures and regulations.
Appropriately manages reported occupational exposures to blood, body fluids, infectious materials and hazardous chemicals. Follows established infection control and isolation precautions and procedures. Reports missing/illegible labels and SDSs to Plant Operations Director or other designated person. Ensures staff adheres to fire, smoking/tobacco use, equipment and safety policies and procedures.
Protects the residents and community not disclosing or using resident health information for any purpose other than treatment for the resident, payment and operations.
Values and respects the choices and preferences of residents and works to create attributes of home, with emphasis on person centered care.
Upholds resident rights and confidentiality. Creates and supports a physical environment which is accessible and supports privacy, independence and comfort.
