Human Resources Coordinator

Position Summary

The Human Resources Coordinator provides administrative and operational support to the Human Resources department while ensuring a high level of confidentiality, accuracy, and professionalism. This role assists with the day-to-day functions of Human Resources, including recruitment, onboarding, employee records management, compliance, benefits administration, and HR projects. The Human Resources Coordinator serves as a resource for employees by providing excellent customer service, responding to routine HR inquiries, and supporting company initiatives that promote a positive employee experience.

This position requires exceptional organizational skills, attention to detail, sound judgment, and the ability to manage confidential information with discretion. The Human Resources Coordinator works closely with the Director of Human Resources and other leaders to support company policies, maintain compliance, and ensure efficient HR operations.

Essential Duties & Responsibilities

  • Assist with recruiting efforts by posting job openings, reviewing applications, scheduling interviews, and coordinating the hiring process.

  • Conduct candidate screening calls and assist with initial candidate evaluations.

  • Coordinate reference checks, background checks, and pre-employment screenings.

  • Maintain applicant tracking records and recruiting metrics.

  • Assist with career fairs, hiring events, and recruiting initiatives.

  • Coordinate new hire onboarding and orientation.

  • Prepare new hire paperwork and ensure completion of all onboarding documentation.

  • Process I-9 employment verification and E-Verify (if applicable).

  • Assist employees with onboarding questions and ensure a positive onboarding experience.

  • Coordinate employee badges, uniforms, and onboarding materials as needed.

  • Maintain confidential employee personnel files and electronic records.

  • Ensure employee documentation is accurate, complete, and compliant with company policies and legal requirements.

  • Process employment status changes including promotions, transfers, pay changes, and separations.

  • Prepare HR correspondence including employment verification letters, offer letters, and other employee communications.

  • Maintain HR forms, templates, and department records.

  • Assist employees with benefit enrollment and general benefits questions.

  • Support open enrollment activities.

  • Process qualifying life events and benefit changes.

  • Coordinate communication between employees and benefit vendors.

  • Maintain benefit records and enrollment documentation.

  • Maintain compliance with federal, state, and local employment laws.

  • Conduct periodic audits of personnel files, I-9s, and HR records.

  • Assist with HR reporting and compliance documentation.

  • Ensure required labor law posters and employee notices remain current.

  • Maintain training records and certifications.

  • Respond to routine employee questions regarding policies, benefits, and HR procedures.

  • Route complex employee concerns to the Director of Human Resources.

  • Assist with documentation related to corrective action and employee relations matters.

  • Maintain confidentiality regarding all employee information.

  • Assist with payroll-related documentation and employee changes.

  • Verify employee demographic information and employment records.

  • Coordinate with Payroll regarding new hires, separations, and employee updates.

  • Assist employees with payroll-related inquiries as appropriate.

  • Assist with employee engagement initiatives and recognition programs.

  • Support performance review administration.

  • Assist with policy updates and handbook revisions.

  • Participate in HR audits and special projects.

  • Prepare reports, spreadsheets, presentations, and other HR documentation.

  • Recommend improvements to HR processes and administrative procedures.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Proficiency in Google Suite.

  • Experience with Human Resources Information Systems (HRIS), preferably ADP Workforce Now.

  • Experience with applicant tracking systems and recruiting platforms preferred.

  • Ability to quickly learn new software applications and HR technology.

Education & Experience

  • Associate's degree in Human Resources, Business Administration, or a related field preferred (Bachelor's degree a plus).

  • Minimum of 2 years of administrative or Human Resources experience preferred.

  • Experience supporting recruiting, onboarding, benefits, or employee records preferred.

Physical Requirements

  • Prolonged periods of sitting while working at a computer.

  • Ability to occasionally lift and move files or office materials up to 15 pounds.

  • Ability to move throughout office and restaurant locations as needed.
