We are looking for a highly organized Administrative Assistant to support our Industrial Brokerage Team. This role plays an important part in keeping transactions, marketing efforts, and internal operations running smoothly.

This position is ideal for someone who enjoys organization, coordination, and working behind the scenes to help a team succeed.

Position Overview

The Commercial Real Estate Administrative Assistant provides operational and transaction support to the Industrial brokerage team. This role assists with listing preparation, marketing coordination, transaction documentation, scheduling, and internal data management throughout the commercial real estate deal process.

The ideal candidate is organized, detail-oriented, and comfortable managing multiple tasks while supporting a fast-paced brokerage environment.

Key Responsibilities

Transaction & Deal Coordination
  • Assist with preparing purchase and sale agreements, leases, and amendments
  • Track transaction deadlines including due diligence periods and earnest money deposits
  • Coordinate inspections, environmental reports, surveys, and appraisals
  • Maintain organized transaction records and internal deal files
  • Assist with closing coordination and transaction documentation
Administrative & Team Support
  • Schedule property tours, meetings, and client appointments
  • Coordinate with buyers, tenants, sellers, landlords, and title companies
  • Maintain CRM databases and property ownership records
  • Enter new leads, contacts, and comparable sales information into internal systems
  • Organize files and maintain documentation in Google Drive and internal platforms
Marketing & Listing Support
  • Assist with launching new property listings
  • Prepare marketing materials and listing packages
  • Support email marketing campaigns and online property marketing platforms
  • Help maintain listing information and property marketing content
Additional Team Support
  • Track team expenses and assist with commission processing
  • Coordinate travel, meetings, and team events when needed
  • Support internal reporting and compliance tracking

Qualifications

  • 1–3 years of administrative, office, or transaction coordination experience preferred
  • Interest in commercial real estate, business, or brokerage operations is a plus
  • Strong organizational and time management skills
  • Ability to manage multiple tasks and deadlines
  • Strong written and verbal communication skills
  • Proficiency with Google Workspace or similar office software
  • Experience with CRM systems or databases is helpful but not required
Recent graduates with strong organizational and administrative skills are encouraged to apply.
