Acadian Ambulance has an immediate full - time opening for a Receptionist at the Kaliste Saloom location. The selected candidate is responsible for all visitors, customers and incoming calls received at corporate headquarters. Additionally, receives and routes incoming deliverables, serves as a local runner utilizing a shared on-site company vehicle, and provides comprehensive facility and administrative support as part of a rotating front-desk team.
This is an in-office position with a Monday through Friday schedule, from 8am - 5pm.
DUTIES AND RESPONSIBILITIES:
- Answer the main public phone line and follow protocol for directing calls.
- Greet customers and visitors, announce arrivals to the receiving employee, and physically escort guests to their destination.
- Receive, log, and route all incoming deliverables, including packages, legal service, and other receivables.
- Participate in a front-desk rotation with team members to ensure continuous coverage of the lobby during business hours, lunches, and breaks.
- Act as a local runner for the building, utilizing the pooled company vehicle (parked on-site) for daily drop-offs, mail runs, and pick-ups.
- Order, receive, and manage inventory for office, break room, and cleaning supplies.
- Enter and track facility maintenance requests for the building.
- Manage office space and maintain the building calendar, including coordinating parking for large visitor groups, setting up beverage/hospitality stations, and resetting conference rooms after meetings (clearing trash, wiping whiteboards, pushing in chairs).
- Organize catering for office lunches and meetings.
- Perform ancillary scanning, data entry, and other administrative overflow tasks to support the Risk Management department.
- Other responsibilities, as assigned.
QUALIFICATIONS:
- High school education or equivalent.
- Valid driver's license required to operate the shared corporate vehicle for runner duties.
- Basic computer skills and experience with business phone systems (ability to transfer calls and place callers on hold).
- Understands patient privacy laws and the importance of confidentiality regarding legal documents.
- Excellent communication and customer relation skills.
- Problem solving abilities and possess strong organizational skills.
- Ability to multitask , demonstrate a strong work ethic and work independently as part of a collaborative team.
- Ability to adhere to productivity goals and departmental guidelines.
