Job Description

Lake Forest College, one of the top liberal arts schools in the Midwest, invites applications for the Department Assistant for the Health and Wellness Center (Non-Exempt). This position reports to the Assistant Dean of Students, Director of Health & Wellness. The Department Assistant serves as an office manager and provides high-level administrative and clerical support for the department. The person in the position provides support that is consistent with the mission, philosophies and goals of Lake Forest College and Student Affairs. 

 

The Department Assistant performs a range of activities that support the effective functioning of the department, including:

 

Front Desk Responsibilities: 

  • Greet students and visitors to the Health and Wellness Center
  • Schedule appointments 
  • Answer phones and monitor Health and Wellness email
  • Inform students of departmental policies and procedures
  • Provide basic clinical triage of paperwork for medical appointments and psychological crises
  • Assist students with insurance questions 

 

Administrative Support:

  • Provide budgetary support (processing, billing, budget reconciliation)
  • Assist Training Coordinator in administrative duties related to training program (e.g., search process, and assisting with onboarding new staff, etc.)
  • Assist Outreach Coordinator with programmatic details (e.g., room scheduling, advertisements, supply procurement, etc.)
  • Maintain the Health & Wellness Center’s website
  • Assist in maintenance of the Health & Wellness Center electronic health record database (PyraMED)

oversee office and medical supply inventory

 

Compliance Support:

  • Collaborate with medical staff to determine student compliance with health forms and mandatory immunizations, and follows up with students who are noncompliant 
  • Collaborate with medical staff to assist students who may need documentation of health records for other reasons (e.g., study abroad, internships, athletics)

 

Outreach Duties: 

  • Schedule/facilitate flu clinics for campus community
  • Collaborate with other College departments to support the College mission
  • Assist with Vector Solutions educational course platform management

 

Other duties as assigned by the Assistant Dean of Students, Director of Health and Wellness.

 

Education Requirements: Associates degree required; Bachelor’s degree preferred; Previous administrative support experience; demonstrate computer literacy including e-mail, Microsoft Office (e.g. Word, Outlook, Excel, PowerPoint, and mail merges). 

 

DEMONSTRATED KNOWLEDGE, SKILLS, AND ABILITIES: The candidates needs to have the ability to communicate effectively with different College constituents including students, parents, faculty, staff, and outside treating professionals; the ability to work in an environment handling confidential medical records and information; a demonstrated ability to maintain the highest standards informational privacy and confidentiality; the ability to respond to students and other constituents who are experiencing emotional distress; a demonstrated sensitivity to issues related to mental health and ability to interact with individuals experiencing psychological difficulties; be able to type and demonstrate computer literacy including e-mail, Microsoft Office (e.g. Word; Outlook, Excel, Powerpoint, and mail merges).

 

 An ideal candidate will have medical office experience; an understanding of basic accounting and budget reconciliation; excellent organization skills; the ability to take initiative; excellent problem-solving skills; the ability to work on multiple tasks and projects concurrently; the ability to meet deadlines; and have knowledge of, and experience with computer scheduling and database management.

 

Compensation and Benefits:

Starting range is dependent upon individual qualifications and experience but expected to be in the range of $21.50 per hour to $25.00 per hour.
