Description

 

Premier Association Management is seeking a friendly, professional, and highly organized Front Desk Receptionist to join our Lake Mary office. This individual will be the first point of contact for homeowners, board members, vendors, visitors, and other business partners, making excellent customer service and professionalism essential.

The ideal candidate is someone who enjoys working with people, can effectively manage multiple priorities, and takes pride in creating a welcoming and organized office environment. This position will also provide general administrative support to the office and management team as needed.


Essential Responsibilities

  • Greet and welcome visitors, homeowners, vendors, and guests in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls to the appropriate team member.
  • Respond to general inquiries and assist homeowners with basic questions or direct them to the appropriate Community Association Manager.
  • Monitor and respond to general office emails and correspondence.
  • Receive, sort, and distribute incoming mail and packages.
  • Maintain a clean, organized, and professional reception area.
  • Assist with scheduling appointments, meetings, and conference rooms.
  • Provide administrative support to Community Association Managers and other office personnel.
  • Assist with copying, scanning, filing, data entry, and other general office duties.
  • Receive and distribute documents, checks, packages, and other materials as appropriate.
  • Maintain accurate records and files.
  • Assist with preparing documents, correspondence, meeting materials, and other administrative items.
  • Communicate professionally with homeowners, vendors, board members, and employees.
  • Assist with coordinating office deliveries, vendors, and building-related needs.
  • Maintain confidentiality when handling company and homeowner information.
  • Perform other administrative duties and special projects as assigned.

Requirements

 Qualifications

  • High school diploma or equivalent required.
  • Previous receptionist, front desk, administrative, customer service, or office experience preferred.
  • Experience in property management, HOA/community association management, real estate, or a related industry is a plus.
  • Excellent verbal and written communication skills.
  • Professional and personable demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a busy office environment.
  • Strong customer service skills and a willingness to assist others.
  • Comfortable handling frequent phone calls and in-person interactions.
  • Proficiency with Microsoft Office, Outlook, and standard office equipment.
  • Ability to learn and navigate company-specific software and systems.
  • Reliable, punctual, and dependable.

Ideal Candidate
The ideal candidate is someone who is organized, approachable, dependable and comfortable interacting with a wide variety of people. Because this person will be the face and voice of Premier's Lake Mary office, professionalism and a positive attitude are extremely important in addition. Experience in an HOA, property management, real estate, or other customer-facing professional environment is highly desirable, but we are also open to candidates with strong administrative and customer service backgrounds who are eager to learn the community association management industry.
