About the Role:

The Intake Coordinator plays a critical role in the healthcare and social assistance sector by serving as the first point of contact for clients seeking services. This position is responsible for efficiently managing the intake process, ensuring that all client information is accurately collected, documented, and communicated to the appropriate departments. The Intake Coordinator facilitates smooth client onboarding by coordinating appointments, verifying eligibility, and addressing initial inquiries with professionalism and empathy. By maintaining organized records and collaborating with multidisciplinary teams, the Intake Coordinator helps optimize service delivery and enhances overall client satisfaction. Ultimately, this role supports the organization's mission by ensuring timely access to care and resources for individuals in need.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher in healthcare administration, social work, or related field preferred.
  • Experience in a healthcare or social services environment, particularly in client intake or administrative roles.
  • Proficiency with electronic health records (EHR) systems and standard office software (e.g., Microsoft Office Suite).
  • Strong organizational skills with the ability to manage multiple tasks and maintain attention to detail.
  • Excellent verbal and written communication skills to interact effectively with diverse populations.

Preferred Qualifications:

  • Certification in medical office administration or related credential is advantageous.
  • Familiarity with healthcare regulations such as HIPAA and knowledge of insurance verification processes.
  • Experience working with vulnerable populations or in community-based organizations.
  • Bilingual abilities, especially in Spanish or other commonly spoken languages in the United States.
  • Training in customer service or conflict resolution to enhance client interactions.

Responsibilities:

  • Conduct initial client screenings and gather comprehensive intake information to assess needs and eligibility.
  • Schedule and coordinate appointments between clients and healthcare or social service providers.
  • Maintain accurate and confidential client records in compliance with organizational policies and regulatory requirements.
  • Communicate effectively with clients, families, and internal teams to provide updates and resolve any intake-related issues.
  • Assist in the preparation of reports and documentation to support case management and service planning.
