Your Role 

The Sales Administrative Assistant represents Brenntag Southwest, Inc. with its customer base. The role has a heavy focus on data dissemination and ensuring effective communications between customers and the sales group. The role requires daily interaction with external and internal stakeholders and cultivation of customer relationships.

Responsibilities 

Work with other Sales Assistants around the organization in gathering information (sales figures, reports, pricing, etc.); develop close communication skills and ties with the Brenntag Southwest’s sales group:

  • Monitor quarterly sales roster activities, use quarterly master list to edit information in sales binders and in BUS

  • Maintain up to date contact information on Sales Representatives, Account Managers, and Senior Account Managers throughout Brenntag

  • Update contact information on Administrative Assistants

Serve as a “first link” with customers by use of strong phone/e-mail communication skills—provide follow-up to major account requests—assume a “CSR” mentality:

  • Available as a daily contact for immediate response to customer requests

  • Function in absence of account executives, ensuring to answer any questions or resolve any issues

  • Contact customers to confirm appointments/meetings, receipt of materials, clarification of information

  • Study CSR training materials

  • Work closely with Account Executives in assisting with customer needs and gathering information for the sales team as needed.                                                                      

  • Assist in the construction of presentation handout materials. Ability to create customized PowerPoint presentations, as well as modify and adapt existing presentations to fit needs of specific customers (i.e. adding sales figures, meeting agendas, logos, etc.).                                                            

  • Maintain a constant supply of Master, E-Commerce, Price Benchmarking, and Product List presentations and handouts.

  • Maintain supply of binder / table of contents materials for customized presentations.

  • Gain strong knowledge in working within the BUS (Brenntag Unified System) to pull sales and other information:

    • Sales data

    • Pricing data

    • Identification of customer logistical needs

Work with team Calendar, E-Mail, and database management:

  • Keep an active Calendar for regularly scheduled reports, bids, appointments – reminders and tickets

  • E-Mail monitoring and management ensuring efficient and effective communication

  • Updating of group mail lists for each customer account

Participate in face-to-face customer interaction:

  • Be present for important customer meetings or presentations

  • Be prepared for customer visits

  • Generate any other reports as needed by sales or the senior management group.

  • Disseminate bid information to relevant company personnel across all regions.

  • Follow-up to ensure timely response to meet deadlines for submission of all bids.

  • Prepare final version of bid spreadsheet/proposal for review by the sales team and then help with submission to customer.

  • Disseminate post bid results to appropriate field personnel.

  • Coordinate on centralized bid efforts.

  • Create and maintain bid database to be customized for each customer:

  • Fill out bid spreadsheet for each bid request received

  • Update each spreadsheet

  • Complete quarterly bid spreadsheet updates.

  • Other duties as assigned by manager.

  • Communication skills – Reads, writes and speaks fluent English, using appropriate grammar, style and vocabulary. Correctly spells commonly used English words and job specific terms. Demonstrates exceptionally strong written and verbal communication skills.

  • Organizational ability – Demonstrates a systematic approach in carrying out assignments. Is very orderly and excels at cutting through confusion and turning chaos into order. 

  • Customer service skills – Consistently ensures the customer is provided with attentive, courteous and informative service.  Gains and shows personal satisfaction from delivering great service.

  • Intellectual ability – Accurately and consistently follows instructions delivered in an oral, written or diagram format. Ability to learn on the fly.

  • Mathematical ability – Ability to add, subtract, multiply and divide, and to compute rate, ratio and percent; ability to convert units of measurement and conduct simple business analytics.

  • Computer skills – Comfortably and confidently uses a computer and specialized software including but not limited to Microsoft Word, Excel, and Outlook, AS400 or similar ERP system. Capable of quickly researching, extracting data and presenting insightful and actionable information to leadership.

Education / Experience:

  • Bachelor’s Degree in Supply Chain Management, Business, or closely related field or equivalent combined education and work experience.  

  • Employment is contingent upon completion of a background investigation, E-Verify, and pre-employment drug screening
