Job Description
Position Summary:Â
The Senior Project Manager is accountable for coordinating and managing clients’ projects through all phases of laboratory operations, including project set-up and maintenance, login review, communication of analytical issues, client account maintenance, reporting, invoicing, bottle orders, client pickups, and identification of work share facilities. The Senior Project Manager role fosters and develops client relationships in support of the laboratory mission.
Essential Duties and Responsibilities:
Project set-upÂ
- Project review in LIMSÂ
- Sets up projectÂ
- Adds any project notes (special reporting and invoicing instructions, etc.)Â
- Reviews project documentation (permits, SOW, QAPP, and purchase/task orders)Â
- Adds any project documentation to central repository (permits, SOW, QAPP, and purchase/task orders)Â
- Sets up client for MyEDL
- Manages purchase orders, task orders, contracts, and change order requestsÂ
- Verifies that lab compound lists and limits meet project requirements for new projects not quotedÂ
- Adds any project specific limits/lists to LIMSÂ
- Deliverable assignment and delivery routeÂ
- For new projects not quoted, confirms that EDD format is available (deliverable assignment and delivery route). Submits a helpdesk ticket for any new formats needed.
- Communicates project details to operationsÂ
- Initiates project kick off call with client and pertinent staff, if neededÂ
- Engages workshare labs, service centers, and non-Eurofins Environment Testing America locations as needed for new projects not quotedÂ
- Works with operations to ensure adequate capacity for incoming work (forecasting)Â
- Provides updates to operations on upcoming workÂ
- Familiarity with state and national program requirements as it pertains to work mixÂ
- Create bottle ordersÂ
- Schedules courier or field sampler, if neededÂ
- Verifies that lab certification meets project requirementsÂ
- Verifies that lab compound lists and limits meet project requirements
- For new quotes confirms that EDD format is available (delivery assignment and delivery route). If a new format is needed, submits a helpdesk ticketÂ
Sample ReceiptÂ
- Communicates any issues to clients for duration of projectÂ
- Manages incoming work for Rush and short holdsÂ
- Reviews log-inÂ
- Resolves log-in issues with client ď‚· Informs client of any log-in discrepanciesÂ
- Sends client sample receipt confirmationÂ
- Reviews draft invoiceÂ
- Confirms that any client needed information (purchase order, project number, etc.) is recorded in LIMS for invoicing
ReportingÂ
- Client specific report requirementsÂ
- Reviews job list daily and manages due datesÂ
- Communicates any expected delays to clients before the job due dateÂ
- Confirms correct report format and EDD format is usedÂ
- Creates and issues final report by client due dateÂ
- Issues final data packagesÂ
- State reporting forms and submissionÂ
- DMR formsÂ
- EDD checkersÂ
- Data uploadÂ
Invoicing
- Sets up delivery routeÂ
- Reviews final invoice before issuing to clientÂ
- Generates credit/debit memos as neededÂ
- Submits credit/debit memos for approval
- Submits approved credit/debit memos to client, if neededÂ
- Submits revised invoicesÂ
- Initiates follow up calls to confirm correct invoicingÂ
- Works with collections on A/R follow up
Client set-upÂ
- Takes new quote requests from clientsÂ
- Reviews client contract requirementsÂ
- Reviews purchase ordersÂ
- Submits purchase orders for approval and returns approved orders to clientÂ
- Follows up on client terms and credit limit
Account MaintenanceÂ
- Follow up calls and visits with clients
- Submits client complaints and participates in corrective action/follow-up as neededÂ
- Communicates client issues/complaints to salesÂ
- Follows up on client requestsÂ
- Provides technical support as neededÂ
- Uses company resources to follow up on client requestsÂ
- Familiarity with company capabilities and key contactsÂ
- Forward opportunities and leads to salesÂ
Quotes & ProposalsÂ
- Initiates project QAPP review with operations, QA, and subcontract labs as needed
- Initiates technical support from operations as needed (special requests, method development, technical review, etc.)Â
- Quote generation and approvalsÂ
- Reviews client quote requests for capabilities, certifications, scopeÂ
- Confirms client contracts (if applicable) and pricingÂ
- Determines lab placement for the work ď‚· Confirms that lab certification meets project requirementsÂ
- Confirms that lab compound lists and limits meet project requirementsÂ
- Creates quotesÂ
- Submits quotes for approvalÂ
- Sends quotes to clientÂ
- Provides QAPP / SOW information to the client as neededÂ
- Updates status in LIMS
- Â Account maintenanceÂ
- Supports the follow up of quotes/bids for tracking purposes
Additional duties as assignedÂ
Role is full time first shift, M-F 8am-5pm, with additional hours as needed.Â
Qualifications
Basic Minimum Qualifications:Â
- Bachelor’s Degree (four years of client-relationship/client service experience in a related setting may substitute for a degree)
- Previous Customer Service experience in the Environmental industry, 2+ years preferredÂ
- Computer skills- proficiency with Word, Outlook, Excel
- Professional working proficiency in English is a requirement, including the ability to read, write and speak in English.
- Authorization to work in the United States indefinitely without restriction or sponsorship
Ideal Candidates will have:Â
- 2-4+ years of customer service experience in an Environmental Science field
- Previous project management experience, preferably in lab testing or a related fieldÂ
- Some prior science or lab experience
- Great attention to detail
- Professional communication skills
- Strong computer skillsÂ
Additional Information
Pay rate: $60,000-65,000/yearÂ
Please note - Eurofins Environment Testing (USA) provides a compensation range for informational purposes, the actual base salary may vary based upon, but not limited to, relevant experience and skill set, base salary of internal peers, business sector, and geographic location.
