Position Summary
The Administrative Coordinator serves as a key support role within the orthodontic front office, ensuring a seamless patient experience from the first interaction through treatment completion. This position provides cross-functional support across patient coordination, financial coordination, and treatment coordination responsibilities while helping maintain efficient daily operations.

 The Administrative Coordinator primarily works at the front desk and assists with administrative coverage as needed. This role also serves as a trusted resource for team members and patients regarding administrative processes, patient concerns, and scheduling or financial questions.

 This position does not carry formal management responsibilities but acts as a dependable administrative support partner to the practice leadership team.
Position Details
- Full-Time (40 hours per week)
- Primarily Monday–Friday business hours
- Occasional evenings or weekends for community events
- Hourly range: $22–$25 per hour based on experience
- Bonus opportunities available
- Location: St. Petersburg, Largo, and Seminole

Key Responsibilities
Patient Experience & Front Desk Support
- Welcome and assist patients and families with professionalism and warmth
- Support patient check-in and check-out processes
- Answer phones and manage patient inquiries
- Assist with scheduling appointments and maintaining an efficient schedule
- Help resolve patient questions or concerns related to administrative matters
Financial Coordination Support
- Assist patients with understanding financial agreements and payment options
- Support insurance verification and benefits communication
- Process payments and maintain accurate patient financial records
- Collaborate with the financial coordinator to ensure clear and accurate financial communication
Treatment Coordination Support
- Provide support during new patient consultations as needed
- Assist with treatment plan communication and scheduling
- Help ensure smooth transitions from consultation to treatment start
Administrative Operations
- Provide coverage for front office roles as needed
- Serve as a knowledgeable resource for administrative workflows and processes
- Support the team in maintaining organized systems and efficient patient flow
- Assist leadership with administrative tasks when needed
Qualifications
- Prior experience in a dental or orthodontic practice preferred
- Strong communication and customer service skills
- Ability to multitask and support multiple administrative functions
- Detail-oriented with strong organizational skills
- Professional demeanor and team-oriented mindset
- Familiarity with orthodontic practice management software is a plus
