We are seeking a dependable and organized Bilingual Administrative Assistant to support daily administrative and clerical operations. This role is essential to maintaining smooth office functions and requires strong attention to detail, professionalism, and the ability to multitask.

 

Key Responsibilities

  • Answer and direct phone calls professionally
  • Manage emails and office correspondence
  • Schedule appointments and maintain calendars
  • Perform data entry and maintain accurate records
  • Assist with invoicing, payroll, and basic accounting tasks
  • Maintain organized filing systems (digital and physical)
  • Handle incoming and outgoing mail and deliveries
  • Provide general administrative support to the team

Position Requirements (Must-Have)

  • Fluent in English and Spanish (required)
  • Proficient in QuickBooks
  • Proficient in ADP Payroll
  • Minimum 2 years of experience in an administrative, accounting, or office support role (3+ years preferred)
  • High school diploma or equivalent
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Ability to handle confidential information with discretion

Preferred Qualifications (Nice to Have)

  • Experience in a small to medium-sized business
  • Familiarity with office equipment and systems
  • Experience in industrial, manufacturing, or technical environments
