Position Summary

The Client Services Administrator provides administrative and operational support to the Client SolutionsĀ Department. This role works closely with internal departments and external clients to facilitate sales processes, maintain client information, support project coordination, and contribute to exceptional customer service delivery. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Essential Responsibilities

  • Maintain and update customer and prospect information within the company CRM system.
  • Generate and distribute monthly and ad hoc reports related to client activity, revenue, project status, and sales opportunities.
  • Monitor and track project progress, communicating updates and potential issues to the appropriate teams.
  • Coordinate communication between internal departments and external clients to ensure successful project execution.
  • Assist with drafting, reviewing, and processing client proposals, agreements, and related documentation.
  • Track client billing activities and support invoice collection procedures when required.
  • Schedule meetings, prepare meeting materials, and coordinate calendars for the Client Services team.
  • Manage CRM notes and support the client lifecycle from proposal through project delivery.
  • Provide world-class customer service by responding professionally to client inquiries and requests.
  • Support sales initiatives and customer-focused activities as directed by management.
  • Perform other related duties and special projects as assigned.

Qualifications

Required

  • Minimum of one (1) year of experience in an administrative, customer service, sales support, or related role.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple priorities and deadlines effectively.
  • High attention to detail, accuracy, and quality.
  • Ability to work independently and collaboratively within a team environment.
  • Professional demeanor with strong customer service skills.

Preferred

  • Experience supporting a sales, business development, or client services team.
  • Bachelor's degree in Business, Marketing, Communications, or a related field.
  • Experience working with CRM systems and sales reporting tools.
  • Bilingual language skills are a plus.
