Position Summary The Surgery Scheduler is responsible for coordinating all aspects of surgical procedures, including scheduling, authorizations, patient communication, and pre-operative preparation. This role plays a critical part in ensuring a seamless experience for both patients and providers.
Key Responsibilities
- Coordinate and schedule surgical procedures following provider consultations
- Obtain insurance authorizations and verify eligibility
- Communicate surgery details clearly with patients, including date, time, and location
- Coordinate with hospitals, surgery centers, and ancillary providers (e.g., anesthesia)
- Ensure all pre-operative requirements are completed (registrations, labs, clearances, etc.)
- Collect applicable patient financial responsibility prior to procedures (copays, deductibles, OOP)
- Complete FMLA paperwork within required timelines and collect associated fees
- Schedule post-operative follow-up appointments
- Enter and maintain accurate patient information in the EHR system (including hospital encounters and face sheets)
- Maintain task queues and ensure timely follow-up on all assigned items
- Provide excellent customer service while handling a high volume of calls and patient interactions
- Maintain strict confidentiality and adhere to all HIPAA guidelines

Qualifications
- High School Diploma or GED required
- 2–3 years of surgery scheduling experience in a medical clinic required
- Knowledge of medical terminology preferred
