Position Summary 

The Maintenance Coordinator is responsible for coordinating maintenance activities across LV Petroleum travel centers, convenience stores, restaurants, and support facilities. This role serves as a central point of communication among field operations, vendors, maintenance technicians, and leadership to help ensure repairs, preventive maintenance activities, and facility improvements are completed efficiently, safely, and cost effectively. 

The Maintenance Coordinator plays a critical role in minimizing equipment downtime, protecting company assets, and supporting operational continuity across the enterprise. 

Key Responsibilities 

Maintenance Coordination 

  • Receive, prioritize, and dispatch maintenance requests from field locations. 
  • Coordinate service schedules with internal technicians and third-party vendors. 
  • Track work orders from initiation through completion. 
  • Monitor repair status and communicate timely updates to stakeholders. 
  • Ensure timely resolution of facility, equipment, and infrastructure issues. 

Vendor Management 

  • Coordinate vendor access to company locations. 
  • Obtain estimates and support approval processes when required. 
  • Track vendor performance, service levels, and responsiveness. 
  • Verify completion of contracted work and supporting documentation. 

Preventive Maintenance Administration 

  • Maintain preventive maintenance schedules for critical equipment. 
  • Monitor compliance with preventive maintenance programs. 
  • Support proactive planning designed to reduce emergency repairs and equipment downtime. 

Financial and Administrative Support 

  • Process maintenance invoices and supporting documentation. 
  • Track maintenance expenditures against established budgets. 
  • Maintain accurate maintenance records, vendor files, and work order documentation. 
  • Support reporting related to maintenance costs, work order completion, and asset performance. 

Compliance and Safety Support 

  • Support maintenance activities in accordance with company standards and applicable regulatory requirements. 
  • Coordinate corrective actions related to facility inspections. 
  • Maintain required maintenance documentation and records. 

Operational Support 

  • Partner with Operations, Construction, Environmental, and Safety teams. 
  • Escalate critical repairs affecting safety, customer experience, or operational continuity. 
  • Assist with maintenance planning for remodels, acquisitions, and special projects. 

 

Qualifications 

Required 

  • Three or more years of experience in maintenance coordination, facilities management, property management, construction administration, or a related field. 
  • Demonstrated ability to manage multiple priorities and deadlines simultaneously. 
  • Strong organizational, documentation, and project coordination skills. 
  • Proficiency with Microsoft Office applications. 
  • Excellent written and verbal communication skills. 
  • Ability to work effectively in a fast-paced, multi-location operating environment. 

Preferred 

  • Experience supporting retail, convenience store, travel center, restaurant, hospitality, or other multi-unit operations. 
  • Experience using a computerized maintenance management system or work order management platform. 
  • Working knowledge of HVAC, refrigeration, electrical, plumbing, fuel systems, and general facility maintenance. 

Work Environment 

  • This position is based in the LV Petroleum corporate office in Las Vegas, Nevada. 
  • The role requires frequent communication with field locations, vendors, and cross-functional business partners. 
  • Occasional travel to company locations may be required based on business needs.
