This is an office-based, clerical support role embedded within the engineering workflow — responsible for managing documentation, processing engineering deliverables, coordinating permit activity with municipalities, and maintaining data integrity across project tracking systems. The right candidate has a working knowledge of telecommunications infrastructure, is highly organized, and thrives in a fast-moving production environment.

Responsibilities

  • Manage and maintain engineering documentation including as-built drawings, splice records, fiber test result packages, and network design redlines.
  • Process and distribute engineering work orders, construction packages, and field design deliverables to appropriate project stakeholders.
  • Track permit submittals and follow up with city municipalities, utility companies, and Right-of-Way agencies on permitting status and issue resolution.
Coordinate scheduling and workflow between field engineering crews, construction teams, and client program managers.
  • Enter and maintain project data in CRM and project management platforms (e.g., Smartsheet, GIS-based tools); ensure records are current and accurate.
  • Generate weekly and ad hoc reports on engineering activity, permit status, work order volumes, and project milestones for management review.
  • Assist in the preparation and QA of engineering submittals, ensuring documents conform to  client and PRG standards prior to distribution.
  • Support invoice reconciliation by validating engineering deliverable counts against work orders and production logs.
  • Maintain organized digital filing systems for project records, correspondence, and regulatory submittals.
  • Identify and escalate data discrepancies, permit blockers, or documentation gaps to the Engineering Manager promptly.
  • Perform other related administrative and coordination duties as assigned.

Minimum Qualifications

  • Minimum two (2) years of administrative, coordination, or clerical experience in a telecommunications, utility, or infrastructure construction environment.
  • Working familiarity with fiber optic or OSP construction workflows — including permit types, engineering documentation, and field-to-office handoff processes.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail) and/or Microsoft Office Suite (Excel, Word, Outlook) experience with project tracking tools such as Smartsheet is a plus.
  • Demonstrated ability to manage multiple concurrent tasks and deadlines in a high-volume production environment.
  • Strong written and verbal communication skills; comfortable interfacing with municipalities, field crews, and client contacts.
  • High attention to detail in data entry, document management, and report generation.
  • Ability to read and interpret basic engineering diagrams, work order packages, or construction drawings is preferred.
  • Experience with GIS tools, mapping platforms, or OSP design software (e.g., Vetro, Salesforce, Comsof, or similar) is a plus.
  • Associates degree or equivalent combination of education and relevant work experience preferred.
