JOB PURPOSE

The Client Service Representative serves as the first point of contact for individuals seeking assistance and support. This role is responsible for providing high-quality customer service, managing client intake processes, maintaining accurate records, and supporting the efficient delivery of services. The position plays a vital role in promoting a welcoming environment that reflects the organization's mission to uphold dignity, compassion, and equity for every client.

ORGANIZATIONAL REQUIREMENTS

As a mission driven nonprofit organization, all employees are required to contribute to organization wide initiatives that support community impact. This includes participation in up to (6) six Pop-Up and Give events annually. These occur outside of standard business hours and are scheduled on the third Saturday of the month.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage daily front desk operations, including answering phone inquiries, managing voicemail systems, and assisting clients with check-in (drive-thru and walk-in).
  • Provide general clerical and administrative support to Client Services Coordinators and Managers to maintain efficient workflow.
  • Maintain and update accurate records of client interactions in accordance with organizational protocols.
  • Schedule, reschedule, and cancel client appointments based on staff availability and client needs.
  • Accurately enter and regularly update client demographic information in Salesforce; assist in conducting routine audits for data accuracy.
  • Respond to referrals from external partners and ensure timely follow-up and documentation.
  • Support daily intake processes and contribute to the overall efficiency of client service delivery.
  • Collaborate with cross-functional teams to address client needs and facilitate access to additional services and resources.
  • Assist in compiling reports on client engagement, appointment trends, and service utilization.
  • Identify and recommend process improvements; support the implementation of streamlined administrative procedures.
  • Performs other related duties consistent with the scope and purpose of the position.

REQUIRED SKILLS AND ABILITIES

  • Ability to prioritize tasks and meet deadlines.
  • Sound judgment and problem solving skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficiency in relevant software systems or platforms.

EDUCATION AND EXPERIENCE

Minimum Qualifications

  • High school diploma or equivalent (required)
  • 1+ year of Non- Profit Experience (preferred)
  • Bilingual in Spanish (required)
  • 2+ years of administrative, client services, preferably in a social services or community-based organization. (required)
  • Must obtain and maintain a valid Nevada Food Handlers Card within thirty days of hire due to required participation in food distribution events.

Preferred Qualifications

  • Nonprofit experience
  • Experience working with vulnerable populations or community based programs

WORK SCHEDULE AND CLASSIFICATION

  • This is a part-time position (approximately 20-25 hours per week, not exceeding 29+).
  • Standard work schedule is Monday-Friday, 7:30 am - 11:30 am with flexibility as needed.
  • Evening, weekend, event based, or on call work may be required depending on program and operational needs.
  • This position is classified as Non-Exempt under the Fair Labor Standards Act.

TRAVEL REQUIREMENTS

If the position requires travel to perform essential job duties, the employee must maintain a valid driver's license and meet the organization's insurability requirements. Reliable transportation is required to fulfill travel related responsibilities.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

  • Ability to sit, use hands, talk, and hear for extended periods.
  • Frequent standing, walking, reaching, lifting, and carrying (up to 50 lbs).
  • Exposure to varying indoor and outdoor environments.
