General Description         

The Administrative I position provides front desk and general administrative support at an assigned practice location. This entry-level position is responsible for creating a welcoming environment, assisting clients and providers, maintaining accurate schedules and records, and completing daily administrative responsibilities in accordance with company policies and procedures.


A. Essential Duties

  • Greet clients, visitors, and providers professionally and courteously. 
  • Complete client check-in and check-out procedures. 
  • Answer incoming telephone calls and direct messages appropriately. 
  • Schedule, confirm, cancel, and reschedule appointments. 
  • Maintain accurate appointment statuses within the Electronic Health Record. 
  • Verify that required client documents and forms are complete. 
  • Monitor assigned email accounts and respond or route messages appropriately. 
  • Scan, upload, and organize documents within the client record. 
  • Maintain the organization and cleanliness of the reception area. 
  • Complete opening and closing procedures. 
  • Protect client confidentiality and comply with HIPAA requirements. 
  • Notify leadership of client concerns, safety issues, or workflow barriers. 
  • Assist providers and other administrative employees as needed. 
  • Participate in required meetings, supervision, and training.

B. Additional Duties

  • Assist other Administrative team members as needed to maintain productivity and efficiency.
  • Participate in departmental projects and workflow improvements.
  • Support company initiatives and operational changes as assigned.
  • As the department continues to grow, additional responsibilities may be assigned based on business needs.


Qualifications 

Education: 

  • High School Diploma or equivalent required.
  • Associate Degree preferred.

Experience

  • Customer service or administrative experience preferred.
  • Medical or behavioral healthcare experience preferred.
  • Basic knowledge of Microsoft Office applications.
  • Experience using Electronic Health Record systems preferred.

Monday, Wednesday, Thursday 1PM - 9:30PM
Tuesday and Friday 8:30AM - 5PM
