The Executive Administrative Assistant organizes priorities, streamlines communication, and ensures efficient execution of daily and strategic administrative functions. In addition, this role supports the Human Resources Department with personnel processing, reporting, data entry, and benefits administration. The position may serve in an acting HR capacity as needed and requires the highest level of confidentiality and professionalism when handling sensitive information. What You’ll Do Act as the primary executive support for the Center Director’s Office Coordinate, prioritize, and delegate administrative tasks across departments Manage scheduling, meetings, conference calls, travel, and executive calendars Prepare, proofread, and distribute executive-level communications and reports Track and ensure timely submission of deliverables, reports, and correspondence Conduct research and prepare statistical and operational reports Maintain systems, records, and document libraries with accuracy and organization Produce weekly newsletters, meeting minutes, and center-wide communications Provide cross-departmental administrative support and assist with staff training Support Human Resources with personnel processing, reporting, and benefits administration Safeguard confidentiality and ensure integrity of all sensitive data Collaborate with leadership and teams to improve workflow and efficiency Communicate clearly and professionally with internal teams and external partners (including DOL and corporate offices) Manage multiple priorities in a fast-paced executive environment What We’re Looking For Highly organized with strong attention to detail Ability to manage multiple priorities in a fast-paced environment Strong written and verbal communication skills Professionalism, discretion, and integrity with sensitive information Proven ability to support leadership and coordinate across teams Problem-solving mindset with strong follow-through QualificationsQualifications & Experience High school diploma or equivalent required Advanced degree preferred Minimum of five (5) years of advanced administrative experience required Degree or certification in clerical, business, or administrative studies from an accredited program preferred Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required Proven ability to manage multiple priorities in a fast-paced, executive-level environment “Adams and Associates, Inc. abides by the requirements of 41 CFR §§ 60-1.4(a), 60-300.5(a) and 60-741.5(a).
