PRIMARY FUNCTION: The Sr Administrative Assistant provides administrative support, report generation and file maintenance for VP and/or Sr. Director in assigned departments. 

RESPONSIBILITIES AND TASKS:    

•    Serve as central point of contact for assigned department(s) (i.e. Quality Assurance & Food Safety, Safety and Health, Fresh Sales, Prepared Foods, etc).
•    Manage and prioritize information flow (i.e. phone calls, emails, mail, etc.) and disseminate and/or relay information as appropriate
•    Manage calendar for VP and & or Senior director, arrange travel, meetings, events, etc. effectively and efficiently utilizing company resources and time 
•    Manage departmental files, accurately filing documents in a timely manner. 
•    Maintain confidentiality with all departmental tasks (i.e. materials, information, recalls, drug & alcohol results, employee health information, pricing, formulas, costs, etc.)
•    Assist department with all functions such as organization of required meetings, scheduling training 
•    Organizing, revising and updating policy materials and operating manuals as needed
•    Prepare meeting agendas, follow-up on agreed action items
•    Compile, analyze and record information; prepare reports (i.e. Regulatory data, QA & Safety customer performance); disseminate to appropriate personnel as required
•    Conduct analytical projects and/or other sensitive data; compile data, resolve discrepancies and create presentations for meetings as required 
•    Request, update and renew certificates of insurance
•    Manage requisition and purchase process as related to department, monitoring requisitions and purchase orders 
•    Prepare correspondence, documents and presentations as requested
•    Perform additional relevant duties as assigned

EDUCATION and CERTIFICATIONS: 
•  
 Associate’s degree in Business or other relevant discipline
o    Administrative Assistant Certificate and education combination may be substituted for degree

EXPERIENCE AND SKILLS:
•    
Minimum four (4) years relevant clerical experience; experience providing administrative support to senior leadership preferred 
•    Strong customer focus with the ability to communicate with internal and external customers in a timely and professional manner
•    Must have exceptional communication, both verbal and written, attention to detail and the ability to resolve issues efficiently and effectively  
•    Proficient computer skills in Microsoft Suite (Word, Excel, Powerpoint) applications 
•    Self-starter who demonstrates strong initiative and sense of urgency, with the ability to work in a fast paced environment 
•    Strong organizational skills with the ability to prioritize and manage multiple projects while maintaining attention to detail 
•    Must possess a strong customer-centric attitude, high energy level and a strong sense of urgency

 Frequently sit for long periods of time utilizing office equipment and/or computers.
