Job Description:

A.Check in Core Duties
1. Accurately completes EPIC registration for each patient as indicated by the following:

  • Verifies and updates complete patient demographics.

  • Screens for insurance eligibility and scans correct insurance cards.

  • If Self-Pay, offers SPN Sliding Fee application and makes sure acknowledgement is signed. (Applicable to Primary Care Only)

  • Ensures E-sign Consent for treatment and insurance authorization is completed if due.

  • Patient Appointment arrival, following Standard Work.

2. Performs Patient reminder calls. Daily reviews requests to cancel or reschedule appointments. Handles live calls as assigned for appointment reminders with a goal of decreasing unused appointment slots daily.
3. Assists with Phones

  • Greets patient/ answer phones in a kind, courteous tone.

  • Assists patient with scheduling, rescheduling appointments.

  • Creates inbox messages as needed to assist patients including refill requests for medication.

  • Demonstrates competence in identifying RED words.

4. Performs Scheduling for Walk Ins.
5. Generates no show letters through EPIC.


B.Check Out Core Duties
1. Schedule follow up appointments, referrals, and ancillary services as directed by EPIC provider orders.
2. Return phone messages and assist patients.
3. Distribute land line faxes as needed to appropriate Clerical and Clinical Teammates.
4. Complete appropriate referral work questions.
5. Ensure Patient receives AVS (after visit summary).
6. Complete work notes as directed by provider.


C.Other Core Duties
1. Collects copays and coinsurance as applicable at Check out or Check in.
2. Completes standard work for daily deposit and reconciliation.
3. Manage ON Base Patient Documentation Application
4. Transcribe orders/Enter Referral Orders
5. Schedules Incoming referrals by practice protocols.
6. Completes Prior Authorizations as required.
7. Completes Surgical and Procedural Scheduling in appropriate locations, often the Specialty Ambulatory Practices.
8. Completes Surgical and Procedure Prior Authorizations
9. Completes Referral Work Que Management for outgoing referrals per Standard Work.
10. Distributes Patient Information and Directional handouts for Scheduled Surgeries and Procedures.
11. Releases OR block times as required for blocks not being utilized due to Vacations, PTO, etc.
12. Informs patients of Surgical Benefits and Copays.


D.Lead Duties
1.Supervise and support front desk staff.
2.Assists Practice Manager with daily operations.
3.Monitor daily clerical workflows to ensure timely and accurate completion of tasks.
4.Train new clerical staff and provide ongoing coaching and development.
5.Monitor performance and provide feedback in coordination with management.
6.Oversee provider scheduling, patient check-in/check-out, phone call handling, and insurance verification.
7.Ensure front office areas are staffed appropriately and function efficiently.
8.Crossed trained to perform all clerical positions, check-in, check-out, referrals, appointments, and billing.
9.Maintain knowledge of office procedures, HIPAA compliance, and billing practices.
10.Bank deposits and post office drop offs and pickups. Addresses and notifies Practice Manager of Accounting balance issues.
11.Oversees work queues to ensure timely completion including but not limited to incoming referrals, outgoing referrals, charge review, claim edit, registration, and missing items work queues.
12.Oversee staff scheduling.
13.Oversee accuracy of MAP documentation, if applicable.
14.Ensure accuracy in patient registration, data entry, and documentation.
15.Monitor appointment scheduling accuracy to optimize provider productivity.
16.Edits provider’s templates as necessary.
17.Know contacts/processes for downtime, provider call out, etc.
18.Assist with resolving patient complaints or service concerns.
19.Perform monthly consent audits.
20.Manages voicemail and signage for holidays and closures.
21.Oversee phone operations and call answering rate, if applicable.
22.In inclement weather, the lead assists Practice Manager by working from home and managing providers’ schedules.
23.Other duties as assigned.
