About the role

The Maintenance Technical Coordinator supports the Surf Ranch Maintenance Department by coordinating technician schedules and workflow, managing daily maintenance documentation, auditing work orders in eMaintenance X5, maintaining accurate inventory records, supporting parts procurement, and assisting with technical field support during equipment faults or emergency situations.

This role requires a strong technical understanding of maintenance operations, machinery, parts, components, and industrial equipment systems. The Maintenance Technical Coordinator serves as a central point of coordination between maintenance leadership, technicians, vendors, suppliers, and operational needs.

This position is not a supervisory role and does not independently direct repairs or troubleshooting. The Maintenance Technical Coordinator coordinates technician schedules and workflow under the direction of the Maintenance Manager and Maintenance Supervisor. During fault or emergency situations, this role may assist technicians in the field under direction from maintenance leadership.

What you'll do

  • Technician Schedule and Workflow Coordination
    • Coordinate technician schedules based on operational needs, planned maintenance, corrective maintenance, vendor support, inspections, inventory work, and priority repairs.
    • Assist the Maintenance Manager and Maintenance Supervisor with daily and weekly work planning.
    • Coordinate work order assignments, technician workflow, carryover items, and priority maintenance tasks.
    • Communicate schedule changes, work priorities, and open action items to the appropriate team members.
    • Help ensure technicians are aligned on assigned work, due dates, required documentation, and completion expectations.
    • Track open, overdue, incomplete, and carryover work to support follow-through across shifts.
    • Support maintenance leadership with schedule flexibility during faults, downtime events, special projects, and operational changes.
  • eMaintenance X5 / CMMS Administration
    • Utilize eMaintenance X5 to create, assign, review, track, update, and close work orders.
    • Audit daily work orders for accuracy, completeness, labor entries, asset selection, parts usage, failure notes, corrective actions, and technician documentation quality.
    • Identify incomplete, inaccurate, duplicated, or improperly closed work orders and follow up for correction.
    • Maintain accurate CMMS records related to assets, parts, inventory, preventive maintenance, corrective work, and equipment history.
    • Support proper use of eMaintenance X5 by helping technicians maintain consistent and complete work order documentation.
    • Assist with tracking PM compliance, open work orders, overdue work, recurring issues, corrective maintenance, and downtime-related work.
    • Support maintenance reporting by pulling work order data, parts history, labor history, and equipment records as needed.
  • Daily Records, Reporting, and Clerical Support
    • Maintain daily maintenance records, shift notes, work order summaries, vendor updates, inspection records, inventory records, and follow-up logs.
    • Assist with weekly updates, downtime summaries, reliability reports, maintenance reviews, RCFA documentation, and leadership reporting.
    • Maintain organized digital and physical records for maintenance activity, vendor reports, equipment history, quotes, purchase requests, inspections, and related documentation.
    • Assist the Maintenance Manager and Maintenance Supervisor with clerical, administrative, reporting, and coordination duties as assigned.
    • Help ensure important maintenance information is properly documented, saved, communicated, and followed through to completion.
    • Support cross-shift communication by tracking carryover items, open issues, parts status, and pending vendor or technician follow-up.
  • Inventory and Parts Room Ownership
    • Own the physical organization, accuracy, and upkeep of maintenance inventory areas.
    • Maintain inventory records in eMaintenance X5, including part numbers, descriptions, quantities, asset associations, reorder needs, and inventory location.
    • Perform cycle counts, inventory audits, parts labeling, bin organization, and stock verification.
    • Track critical spares, obsolete parts, low-stock items, long-lead parts, and inventory gaps.
    • Prepare and stage parts or materials needed for planned maintenance, corrective work, inspections, and special projects.
    • Coordinate with technicians and leadership to verify parts used on work orders are accurately recorded.
    • Help improve inventory control processes to reduce missing parts, duplicate parts, inaccurate stock counts, and delays caused by parts availability.
  • Vendor, Supplier, and Procurement Support
    • Coordinate with vendors and suppliers to support maintenance parts, tools, materials, quotes, lead times, service visits, and technical documentation.
    • Request quotes and gather pricing, availability, technical specifications, and lead time information.
    • Submit purchase requests to the Maintenance Manager for review and approval.
    • Track purchase request status, pending quotes, vendor follow-ups, delivery timelines, and open procurement action items.
    • Maintain records of quotes, purchase requests, packing slips, vendor reports, and service recommendations.
    • Communicate parts availability or vendor delays that may impact maintenance schedules, PM completion, or operational readiness.
    • Support maintenance leadership with vendor scheduling and coordination around operational needs.
  • Technical Field Support
    • Assist technicians during equipment faults, urgent repairs, downtime events, emergency situations, and operationally critical maintenance needs.
    • Provide field support under the direction of the Maintenance Manager, Maintenance Supervisor, or assigned technical lead.
    • Help gather technical information during faults, including photos, part numbers, asset information, symptoms, work order notes, failure details, and corrective action documentation.
    • Assist with basic mechanical, electrical, hydraulic, pneumatic, and equipment-related maintenance tasks within training, qualification, and direction provided.
    • Fill a support role during emergency or fault situations when additional hands, documentation, parts coordination, or field assistance are required.
    • This position does not independently diagnose, approve, or direct repairs unless authorized by maintenance leadership.
  • Communication and Follow-Up
    • Serve as a central coordination point for work order status, schedule changes, parts needs, inventory updates, vendor follow-up, and reporting needs.
    • Communicate clearly and professionally with technicians, supervisors, management, vendors, suppliers, and operations.
    • Follow up on open items until completed, escalated, or properly handed off.
    • Escalate incomplete work orders, documentation gaps, inventory shortages, recurring equipment issues, vendor delays, safety concerns, or operational risks to maintenance leadership.
    • Support a culture of accountability by helping ensure maintenance work is documented accurately and completed to department expectations.

Qualifications

  • Minimum of 2 years of experience in maintenance-related work, industrial maintenance, facilities maintenance, equipment repair, mechanical systems, electrical systems, or similar technical work.
    OR
  • Minimum of 3 years of experience in a similar coordinator, maintenance coordinator, parts coordinator, inventory coordinator, planner, scheduler, or operations support role.
  • Technical familiarity with machinery, equipment systems, parts, components, tools, and maintenance terminology.
  • Experience using a CMMS, work order system, inventory system, maintenance software, or similar platform.
  • Strong organizational, communication, and follow-up skills.
  • Ability to review and understand work orders, parts information, equipment records, vendor documentation, manuals, and maintenance notes.
  • Ability to maintain accurate records and manage multiple priorities in a fast-paced operational environment.
  • Basic computer skills, including Microsoft Office, email, spreadsheets, digital files, and reporting tools.
  • Ability to support field maintenance activities under direction when needed.
  • Ability to work a flexible schedule based on operational and maintenance needs.

Preferred Qualifications

  • Experience with eMaintenance X5 or a similar CMMS platform.
  • Previous experience as a maintenance technician, maintenance coordinator, planner, scheduler, parts coordinator, inventory coordinator, or maintenance lead.
  • Familiarity with mechanical, electrical, hydraulic, pneumatic, motor, gearbox, brake, sensor, PLC, VFD, and industrial control systems.
  • Experience with parts procurement support, vendor coordination, purchase requests, inventory control, and spare parts management.
  • Experience in a high-reliability, guest-facing, production, manufacturing, amusement, industrial, or critical operations environment.
  • Understanding of preventive maintenance, corrective maintenance, downtime tracking, PM compliance, work order quality, and reliability improvement.

  • May be required to support urgent maintenance needs, operational faults, emergency situations, vendor visits, or schedule changes.

Compensation and Benefits

  • Full time salaried position: $65,000 - $75,000 DOE
