Job Overview:
We are seeking a professional, customer-focused Project Specialist/Administrative Professional to support our environmental compliance licensing program. This role serves as a primary point of contact for incoming communications and provides administrative and project support to ensure timely responses, accurate tracking, and effective coordination across teams.
The ideal candidate is organized, detail-oriented, and able to manage multiple priorities while maintaining a positive and professional demeanor in all interactions. This position plays a key role in supporting day-to-day operations for a large high-volume program by helping manage inquiries, documentation, paying invoices, and routine project support activities.
Key Responsibilities/Accountabilities:
- Conduct online research of regulations to determine applicability and permitting requirements through federal/state/local government websites and databases.
- Communications with regulatory agencies to confirm permitting and inspection requirements.
- Electronic tracking and filing of permit documentation on internal and client owned programs.
- Tracking and completing environmental permit renewals, inspection requests, and all correspondence through various electronic platforms.
- Develop and maintain records of communication with government agencies, client contacts, and stakeholders.
- Work will consist of straightforward tasks using established procedures, with the potential for solving routine problems as encountered.
- Will be expected to apply basic technical skills and knowledge to complete the assigned work and will be expected to manage own time to meet deadlines set by others.
- Assist with the creation and maintenance of project filing systems for project documents in accordance with established program protocols.
- Assist with the general coordination and preparation of documents, forms, and general client submittals.
Basic Qualifications:
- Bachelor's degree or equivalent experience.
- 2-5 years administrative experience.
- Proficient in Adobe Pro, Microsoft Outlook, Microsoft Excel, and other Microsoft products.
- Manages own time to meet agreed targets; develops plans for short-term work activities in own area.
- Interprets customer needs, assesses requirements, and identifies solutions to non-standard requests.
- Uses best practices and knowledge of internal/external business issues to improve products or services in own discipline.
- Applies knowledge and skills to a wide range of standard and nonstandard situations.
