- Serve as the first point of contact for employees, visitors, and vendors
- Manage visitor check‑in, badges, NDAs, and safety protocols
- Answer and route calls and general inquiries
- Coordinate conference rooms, meetings, and guest logistics
- Maintain a professional, organized lobby and reception area
- Receive, sort, log, and distribute incoming mail and packages
- Prepare outgoing domestic and international shipments (USPS, UPS, FedEx, courier)
- Track time‑sensitive deliveries such as bid documents, contracts, and plan sets
- Operate mailroom equipment (postage meters, scanners, copiers, labelers)
- Support high‑volume print, copy, and scan requests with accuracy and version control
- Perform document scanning, filing, and data entry in accordance with retention policies
- Maintain mailroom and office supply inventory
- Assist with safety postings, visitor PPE coordination, and emergency materials
- Support special projects, events, onboarding packets, and department needs
- Coordinate with Facilities, IT, Security, and external vendors as needed
- High school diploma or equivalent required
- 1–3+ years of experience in mailroom, reception, administrative, or customer support roles
- Proficiency with Microsoft Office (Outlook, Word, Excel, Teams)
- Strong organizational skills, attention to detail, and customer service mindset
- Ability to handle confidential and time‑sensitive materials
- Ability to lift and move packages up to 40 lbs
- Frequent standing, walking, bending, and reaching
