MULTIFAMILY ASSISTANT PROJECT MANAGER

Every construction project runs on hundreds of small commitments... a material verified, a submittal approved, a question answered before it becomes a delay. Most companies leave those to chance and call the resulting scramble "just how construction works." We built a system instead.
Through these systems, the Assistant PM holds the field and the office together. When done well, the Superintendent has what they need before they ask, the Project Manager is never blindsided, and trade partners get answers instead of excuses. The project simply flows.

THE ROLE
The Assistant Project Manager is the communication bridge between field and office making sure information, decisions, communication and documentation move accurately and efficiently.

This isn't a paperwork job. Done well, this role prevents more delays than anything else on the project.
RESPONSIBILITIES
Document Management
- Own tracking logs.
- Document change events so scope, cost, and schedule impacts are captured and communicated.
- Drive clean closeout: warranties, manuals, as-builts, and certifications complete and archived.
Procurement Management
- Own the Procurement Log - lead times, fabrication, shipping, and delivery dates.
- Run weekly follow-up calls with trade partners and coordinate with the Superintendent to keep procurement synced to current schedules.
- Verify readiness rather than accepting "in progress," and flag long-lead risk early enough to act on it.
Submittal Management
- Create and maintain the Submittal Log in Procore, identifying requirements early.
- Review submittals for compliance with plans, specs, and proposal requirements before PM review.
- Drive schedule- and procurement-critical items through approval
Project Coordination & Support
- Serve as the liaison between field staff and office teams.
- Support buyout, contracts, and change management, tracking proposals, commitments, and COs through issuance, and keep the change log current.
- Prepare meeting agendas and capture decisions and action items.
Procore Management
- Own Procore management including directories, permissions, workflows, and vendor setup.
- Manage drawings, specs, and revisions so the team always works from current documents.
- Drive consistent use of observations, daily logs, forms, RFIs, and punchlists across the team.

This role is not for someone who waits for direction, lets things sit in an inbox, or believes "I sent an email" counts as follow-up.
EXPERIENCE
- 1–3 years of construction project management, engineering, or coordination experience.
- Procore experience preferred, but not required.
- Construction Management, Engineering, related degree or equivalent field experience.
