Overview

The role of Receptionist at Prime Controls is crucial, as you are often the first impression for people visiting our office. In this position, you will adeptly convey Prime Controls' professional image, whether communicating over the phone or interacting in person. Serving as the central point of contact for our staff, vendors, and, most significantly, our clients, the ideal candidate will demonstrate exceptional verbal and written communication skills, possess strong organizational abilities, and exhibit a keen attention to detail. Additionally, this role involves undertaking administrative and clerical functions, providing general support across various departments. 

 

A Typical Day at Prime Controls 

  • Answer, screen and direct all phone calls in a professional and friendly way 
  • Meet and greet all visitors in a polished and professional manner 
  • Manage staff movements in and out of the office 
  • Administrative and clerical support as needed 
  • Maintain company calendar, manage conference room bookings and meetings. 
  • Organize company in house lunches and catering 
  • Order and maintain office supply inventory 
  • Tidy and maintain reception, conference and break room areas 
  • Must be able to multi-task  
  • Must have an upbeat and friendly demeanor 
  • Handle and prepare outgoing and incoming mail 
  • Ship and receives packages 
  • Process correspondence, letters, forms, reports and various documents 
  • Maintain various filing systems 
  • Ensure faxes (such as bids) get to appropriate personnel 
  • Organize travel arrangements (hotels, flights) 
  • Answer emails in Outlook

The Preferred 

  • 1 year or more of receptionist experience. 
  • Proficient computer skills, including proficiency in Microsoft Office applications. 
  • Adaptability to a dynamic work environment. 
  • Ability to collaborate with colleagues and various departments. 
  • Commitment to maintaining the confidentiality of sensitive information. 
  • Knowledge of and adherence to professional etiquette. 
  • Efficient time management skills to meet deadlines. 
  • Willingness to take on additional responsibilities and assist in different areas. 
  • High school diploma or equivalent; additional relevant certifications are a plus. 
  • Positive attitude and a proactive approach to daily responsibilities.
