The Opportunity:
 

As a CACI Administrative Assistant within the Program Management Office, you oversee a wide array of responsibilities in a dynamic and fast-paced environment supporting strategically impactful operations. This role involves managing day-to-day tasks such as coordinating complex calendar events, arranging detailed travel itineraries, and handling sensitive correspondence on behalf of the division. You will play a pivotal role in ensuring seamless communication flow by organizing reports, documents, and presentations, while also serving as a trusted representative of senior leadership. Success in this position requires strong organizational skills, professionalism, discretion, and the ability to anticipate needs in a mission-driven environment. The ideal candidate will be eager to learn and develop their skills while working under general supervision and taking initiative as needed.

Responsibilities:

  • Manage a broad range of office-management duties to ensure daily operations run smoothly and efficiently in a fast-paced environment.

  • Arrange detailed travel itineraries, coordinate logistics, and resolve last-minute changes as required.

  • Coordinate and oversee complex calendar events, ensuring meetings, appointments, and engagements are scheduled without conflict.

  • Draft, review, and send correspondence on behalf of the Division/Director with accuracy, professionalism, and discretion.

  • Organize and prepare reports, documents, and presentations that support executive-level decision-making and effective meetings.

  • Organize and archive office files for easy retrieval and maintain relevant reference materials.

  • Answer and screen phone calls, arrange meetings, and welcome visitors while maintaining a professional and secure office environment.

  • Prioritize emails and calls on behalf of senior leadership so that urgent matters receive timely attention.

  • Gather essential documents and materials in advance of meetings and presentations to ensure executive readiness.

  • Represent the executive with professionalism and discretion, serving as a trusted liaison with both internal and external stakeholders.

  • The coordinator will also perform other PMO duties as assigned to support program objectives and evolving operational requirements.


Qualifications:

Required: 

  • NO Clearance to Start, must be (U.S. Citizen) with the ability to obtain a Secret level Security Clearance

  • Minimum of two years of experience in administrative roles.

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), SharePoint, MS Teams, and database systems.

  • Ability to manage multiple priorities simultaneously in a high-tempo environment.

  • Strong interpersonal skills, conflict resolution ability, and discretion in handling sensitive matters.

  • Strong organizational, communication, and multitasking skills with an ability to prioritize tasks.

  • Ability to assess information from multiple sources and develop actionable recommendations.

  • Experience managing project schedules and deliverables.

  • Knowledge of human resource functions, including onboarding, time sheets, and performance management.
