Job Summary

The OPS Program Assistant assists with daily business operations for Testing and Assessment Services. Maintains the computer lab and procedures. Provides operational support to the office and performs various administrative functions requiring initiative, discretion, confidentiality, and independent judgment.

Job Description

Typical duties may include but are not limited to:

  • Prepares computerized workstations for testing. Troubleshoots and resolves basic equipment or software problems.
  • Responsible for check in and check out of all testing candidates.
  • Responsible for administration of all computer-based test candidates.
  • Maintains security of testing materials to prevent loss or compromise. Responsible for secure, accurate and prompt return of test materials. Verifies eligibility to test and applicant’s identity.
  • Enters test scores and student demographic data into Student System. Works closely with Adaptive Services for testing accommodation needs.
  • Explains test registration, test scheduling, and identification requirements for each exam. Ensures appropriate administration of all institutional testing programs by following guidelines set by each program for security and supervision of the test.
  • Serves as a public contact for Testing Services, greets visitors, and answers inquiries by e-mail, mail, telephone, and in person.
  • Provides administrative support for testing processes.
  • Responds to testing questions or issues regarding policies, procedures, and processes.
  • Updates testing’s STAT’s, schedules, scoring information, and all other data related.

Other Duties:

  • Performs other job-related duties as assigned.

Additional Job Description

Required Qualifications:

  • High school diploma or equivalent.
  • General office experience.
  • Experience operating a personal computer (primarily Windows) and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Must acquire and maintain testing certifications within six months of hire.

Preferred Qualifications:

  • Experience in a higher education setting.

Knowledge, Skills & Abilities:

  • Familiarity with troubleshooting techniques for common IT issues.
  • Ability to work under pressure to quickly fix technical issues.
  • Strong organizational skills.
  • Excellent customer service skills.
  • Ability to handle confidential information with discretion.
  • Capability to manage multiple tasks efficiently and accurately.
  • Attention to detail to ensure accuracy in managing and returning test materials.
  • Knowledge of general office procedures.
  • Excellent interpersonal, verbal and written communication skills.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to operate office equipment including personal computer, copy machine, fax machine, and calculator.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to interact in a professional manner with staff, faculty, students, and the community in a service-oriented environment.
  • Ability to think critically and make clear, well-reasoned and timely decisions.
  • Ability to understand and follow directions.
  • Ability to adapt quickly to changing situations and environments.
