Scheduler / Insurance Coordinator
Full-Time, Days

The Heart & Valve Clinic provides specialized cardiovascular care focused on the diagnosis, treatment, and long-term management of heart and valve conditions. The clinic partners closely with providers, diagnostic services, and external physician offices to ensure timely access to care, accurate coordination, and an exceptional patient experience.

Job Description:

The Scheduler / Insurance Coordinator supports daily clinic operations by coordinating patient scheduling, insurance verification, and referral management. This role serves as a key point of contact for patients, providers, and external offices, ensuring accuracy, compliance, and excellent customer service.

Key responsibilities include:

  • Greet patients and visitors in a professional and timely manner

  • Answer, screen, and route incoming phone calls using proper etiquette

  • Schedule patient appointments in accordance with clinic policies

  • Collect, review, and update patient demographic and insurance information

  • Obtain referrals, pre-authorizations, and payer notifications as required

  • Communicate appointment details, instructions, and reminders to patients

  • Coordinate with referring offices and internal departments to ensure timely care

  • Maintain accurate documentation within scheduling and registration systems

  • Address patient concerns and escalate issues as appropriate

  • Maintain patient confidentiality and comply with HIPAA regulations

  • Perform additional administrative duties as assigned

Requirements:

  • High School Diploma or GED required

  • Minimum of one (1) year of related experience required

  • Clerical or administrative experience in a medical office setting preferred
