Associa is hiring a Project Manager to oversee all capital projects, RFPs, contracts, and execution, for its large scale HOA in Williamsburg, VA.

Daily responsibilities:
- Act as the liaison for Infrastructure and Facilities Committees, on day-to-day issues.
- Responsible for obtaining multiple proposals for each project involving Infrastructure and Facilities (i.e. sinkholes, erosion, etc.)
- Responsible for writing RFP’s for major contracts and assisting the General Manager/HOA Manager in drafting technical areas of RFP’s, contracts, or related construction policies for consideration by the Board.
- Present proposals to the respective committees for work that needs to be completed or services provided to the HOA.
- Communicate project updates to the General Manager & HOA Manager for reporting back to the Board of Directors.
- Oversee the technical aspect of all RFPs to vendors that are related to repairs and maintenance projects of all types and their associated infrastructures.
- Responsible for obtaining proposals as requested.
- Oversee projects, as assigned by General Manager and HOA Manager, for the association and evaluate performance of the contract.
- Verify contractor’s contract, license and COI, documentation is in hand prior to commencing work.
- Ensure the scope of each project is complete for the contract specifications and timelines as outlined in the contract.
- Delegate repairs to contractors based on skill set, timeliness, and scope. Responsible for overseeing projects through completion, in conjunction with General Manager and HOA Manager.
- Assist General Manager and HOA Manager in preparing presentations for proposal comparison presentations.
- Assist General Manager and HOA Manager in seeking grants for Association reimbursement on storm water projects.
- Assist in Budget Preparation and acquisition of proposals.
- Responsible for the preparation of multiple monthly financial reports for the General Manager.
- Oversee reported Street Light outages/issues and report the same to Dominion Energy.
- Handles special projects as assigned by General Manager or HOA Manager.
- Other duties as requested.Â
Qualifications
- High school diploma or GED equivalent is required.
- 3+ years of administrative, vendor and contract management experience.
- Customer service drive, team oriented, collaborator.
- Excellent communication skills (written and spoken).
- Well versed in MS Office Suite (Word, Excel, Outlook).
- Ability to prioritize tasks, manage multiple projects simultaneously,. and manage time effectively.
- Resolve conflicts and offer solutions. Â
