The Front Desk/Data Entry Specialist serves as the first point of contact for the M&FRC, greeting visitors, answering telephone calls, and directing clients to the appropriate program manager. This role also performs clerical, administrative, and data entry duties, including maintaining accurate and timely records in the Air Force Family Integrated Result Statistical Tracking (AFFIRST) system and supporting Transition Assistance Program (TAP) scheduling and communications.
Job Responsibilities:Â
- Answer incoming telephone calls and greet all visitors to the M&FRC in a courteous, professional manner.
- Ascertain the nature of each call or visit and direct clients to the appropriate M&FRC program manager or staff member.
- Schedule clients for M&FRC classes and workshops and provide clear, accurate information on routine or procedural matters.
- Enter and maintain data in the AFFIRST database system, including TAP data and resources, with a minimum of 85% accuracy within two business days.
- Schedule clients for TAP workshops and send class reminder emails one week prior to the start date (or per program manager guidance).
- Ensure all clients properly sign in and generate a monthly client usage report in the format specified by M&FRC management.
- Maintain the appearance and orderliness of the front desk area, including materials, publications, and furnishings; report inoperable equipment to M&FRC management.
- Perform light housekeeping duties as needed (e.g., trash removal, dusting, minimal vacuuming) to help maintain Air Force standards of appearance.
- Look for opportunities to raise client awareness of M&FRC programs and services.
- Perform other clerical and administrative duties as assigned by M&FRC management.
Required Qualifications:Â
- Minimum of one (1) year of experience in a customer service role.
- Strong working knowledge of data entry devices/methods and the ability to accurately input records and data into electronic systems.
- Proficiency with web-based applications (Microsoft Edge/Chrome) and the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills, with the ability to interact professionally with a diverse population.
- Ability to work independently, exercise sound judgment, and manage time effectively to accomplish assigned tasks.
- Basic understanding of military protocol, support organizations, and family dynamics within a military setting is preferred.
- Ability to pass a background check and obtain a Common Access Card (CAC), including fingerprinting, and successfully complete an Information Assurance exam.
- Must be able to obtain and maintain base access at Hanscom AFB, including REAL ID-compliant identification or an approved alternate form of ID.
