Position Overview 


The Office Administrator is responsible for managing the day-to-day operations of the office and providing administrative and operational support across multiple areas of the business. This role ensures the office runs efficiently, supports leadership and internal teams, and serves as a key point of coordination across departments. This is a hands-on, high-visibility role that requires strong organization, initiative, and the ability to manage a wide range of responsibilities independently.

Hoppe Development is a private real estate development and investment firm focused on solving housing affordability challenges across the Midwest. The company is experiencing significant growth, with over $150M (approx. 1,000 units) in active projects in the development pipeline. 

 

Key Responsibilities 


Office Operations & Facilities 

  • Oversee daily office operations, ensuring a clean, organized, and fully functional environment  
  • Manage office access, security, and coordination with cleaning and service vendors  
  • Maintain office supplies, refreshments, and common areas  
  • Coordinate maintenance and upkeep of office space and equipment  

Front Office & Administrative Support 

  • Answer and direct incoming calls and inquiries  
  • Manage incoming and outgoing mail, packages, and deliveries (including post office runs)  
  • Perform administrative tasks including data entry, filing, document handling, and recordkeeping  
  • Support team members and leadership with day-to-day administrative needs  

Logistics & Errands 

  • Serve as a “runner” for business needs, including delivering documents, checks, and mailings  

Financial & Executive Support 

  • Manage and track credit card expenses, including receipt collection and coding  
  • Support basic financial and administrative processes as needed  

Property & Tenant Support 

  • Assist property management team with administrative tasks, including entering work orders and communicating tenant balances  
  • Coordinate property-related supply purchases and requests  

Corporate & Operational Coordination 

  • Manage office utilization for internal and external meetings and events  

External & Executive Support Functions 

  • Assist with coordination of foundation and community-related activities  
  • Support scheduling and logistics for meetings, memberships, and related commitments including travel plans 
  • Coordinate ticket purchases and distribution for events (e.g., local events, university athletics, concerts)  

Company Assets 

  • Coordinate maintenance and upkeep of company vehicles, including registration and renewals  

 

Reporting Structure 

This position reports to HR.

 

Qualifications 

  • 2+ years of administrative, office management, or business operations experience  
  • Strong organizational and time management skills  
  • Ability to manage multiple responsibilities and prioritize effectively  
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)  
  • Strong communication and interpersonal skills  
  • High level of professionalism, reliability, and attention to detail
